The Opportunity: We are looking for a skilled Administrative Assistant to work 28 hours a week, on a hybrid basis (remote and in office in Hamilton region). This is a 12 month contract opportunity, with the potential for extension. The Administrative Assistant will provide essential support to the Executive Assistant (EA) by handling a wide range of administrative and office services for the company. Key responsibilities include coordinating and communicating office activities, managing electronic filing systems, overseeing incoming and outgoing correspondence, including company email and mail and addressing general trouble shooting needs. The role also involves preparing new client files and executing trade transactions. Additional duties relevant to the position may be assigned as required.
Key Responsibilities:
- Support EA in coordinating departmental office activities
- Review, evaluate and distribute all incoming and outgoing mail
- Tag client emails to appropriate Advisor and client file
- Send out staff and client birthday and holiday cards
- Maintain electronic filling system including scanning
- Prepare new client files
- Executes trade transactions
- Frequent checks to ensure client financial transfers are completed on time
- Maintain daily appointments of all management and executive members
- Maintain a high level of confidentiality in all interactions
- Support team with planning and executing seminars
- 3-5 years work experience in administrative positions
- Experience in the financial services industry is considered an asset
- College or University education in accounting, finance, business or a related discipline preferred
- Experience with Dataphile, Equisoft and Aviso considered an asset.
- Proficiency in Microsoft Excel, Word, Power Point, Outlook and Office
- Strong customer service orientation
- Good financial and business awareness
