The Katzie Housing Department is looking for a dedicated Housing Coordinator to help manage our various housing programs, such as the CMHC Social Housing-Rent to Own program, Rental Units, CMHC and Indigenous Service Canada Repairs & Renovation applications, and New Home Construction applications.

Reporting to the Housing Supervisor, the Coordinator is responsible for supporting in various department administration functions, such as organizing and taking minutes, preparation of tenancy agreements, coordinating subcontractors, collecting and reviewing invoices, researching and securing funding as available through CMHC, ISC, or other funding providers for on-reserve housing.

What You'll Do:

  • Process Housing applications.
  • Ensure tenants follow housing policy and rental agreements, including Monthly Rental Reviews, and identify and issue approved tenant notices for violations of housing policy and rental agreements.
  • Coordinate the ongoing maintenance and housing activities of CMHC Social Housing and Rental Units to ensure that all applicable homes are maintained within established codes, standards, KFN Housing policies, Bylaws, and laws.
  • Schedule annual housing inspections for rentals and record, report, and arrange repairs resulting from inspections.
  • Maintain records of all future and current tenants in compliance with the established standards.
  • Update data and tracking logs as required, ensuring their accuracy and that these are kept current.
  • Prepare, submit, and record management of ISC and CMHC funding submissions to support repairs and renovations to section 95 homes and Homeowners. Prepare reports as needed.
  • Prepare maintenance work orders, schedule work orders with tenants and contractors, obtain quotes and warranty information, draft tenant notices, and housing correspondence for department leadership (supervisor, manager, director etc.)
  • Work with Maintenance Operations/Public Works to respond to and manage housing crises and emergencies.
  • Work with and collaborate with other departments and external parties as needed.
  • Code, track, and submit invoices to the Manager for review and approval and set up payment plans as required.
  • Responsible for housing records management including all department and program filing systems, including CHMC, HSP, ERP, and RAPP documentation. Ensure files are kept up to and accessible.
  • As requested, and under the direction of the department supervisor, work toward meeting housing objectives as set out in the KFN Strategic Plan and Department Annual Operational Workplan.
  • Perform housing administrative duties assisting the Housing Supervisor as needed, including call management, file management, arranging and recording meetings and creating minutes, as well as preparing expenses, and coordinating travel arrangements.

What We're Looking For:

  • Post-secondary education in housing, administration, social services, or a related field, or at least two years of relevant work experience. Equivalent combinations of education, work experience, or comparable lived experience will also be considered.
  • Basic knowledge of the Housing program, Section 95, Band Rentals, and individual ownership is an asset, but training will be provided.
  • Ability to learn and understand the KFN Housing policies, Bylaws, and laws.
  • Prior experience with project management is an asset.
  • Proficient with Microsoft Office – Word, Excel, Outlook, PowerPoint, Adobe
  • Well-developed interpersonal and communication skills, both oral and written.
  • Flexibility and the ability to handle a diverse and complex workload respectfully, timely, and effectively responding to requests and queries.
  • Ability to work in a dynamic, multidisciplinary, multi-tasking environment with tight deadlines.
  • Excellent problem-solving skills and the ability to work under pressure and manage ever-changing priorities.
  • Ability to work independently with minimal day-to-day supervision and within a collaborative team framework.
  • Demonstrated genuine respect for Katzie First Nations culture and protocols.
  • Knowledge of Indigenous Culture and urban communities is an asset.
  • Willing to attend training and workshops.

Other Requirements:

  • Satisfactory Criminal Record Check (vulnerable sector)
  • Class 5 Driver's License with a clean driver's abstract
  • A willingness to work flexible hours, including evenings and weekends, in some cases if an event requires it.
