Reporting to the Sales/Project Development Senior, you'll support daily operations by organizing meeting agendas, taking minutes, documenting action items, and ensuring all details are accurately loaded into Procore. This role also involves setting up schedules and templates to help keep projects on track and meet deadlines. Success in this role requires a strong eye for detail, excellent time management, and effective communication skills.
Job Description
- Develop and maintain schedules, templates, and tools to streamline project workflows.
- Manage and organize meetings, including setting agendas, recording minutes, and ensuring follow-up action items are completed promptly.
- Follow up thoroughly with staff, engineers, and subcontractors to track progress and resolve issues.
- Manage calendars, schedule appointments, and handle meeting organization, including post-meeting tasks.
- Assist with creating reports, correspondence, presentations, and other documentation.
- Produce high-quality, detail-oriented work in alignment with established standards and procedures.
- Prioritize and sort incoming documents, emails, calls, and submissions, ensuring appropriate distribution.
- Provide administrative support, including photocopying, filing, and maintaining organized records.
- Assist with lead scheduling, follow-ups, and supporting project sales and estimating activities as needed.
- Adhere to all company policies and procedures.
Requirements
- Valid Class 5 license and reliable transportation
- Minimum 40 hours per week, must be flexible and willing to work overtime
- Available to work Monday – Friday, occasional Saturday
- In-depth understanding of Microsoft Office (Outlook, Excel, Word, PowerPoint, MS Project)
- Ability to grasp new programs and software
- Strong organization, time management and prioritizing skills
- Professional written, verbal and active listening communication skills
- Excellent grammar and proofreading abilities
- Creative problem-solving skills and ability to think outside the box
- Ability to work in a fast-paced environment with attention to detail
- Professional and friendly demeanor
- Local or willing to relocate to Central Alberta
