HVAC Service Coordinator

Since 2021, we have received annual recognition as the top HVAC company in Kelowna. We are currently hiring a highly organized and detail-oriented HVAC Service Coordinator to join our team.

As the first point of contact for customers, this HVAC Service Coordinator plays a crucial role in our business' daily operations. This position is responsible for efficiently scheduling and dispatching HVAC service technicians to customer sites, ensuring timely and accurate service. Hourly Wage: $27.00-$29.00/hr depending on experience (Permanent Full Time)

Work Shift: Monday - Friday, 7:30am-4:00pm. The role is based in our office.

Requirements:

  • Minimum of 1-year experience as a service coordinator or similar role in the HVAC, plumbing, or related skilled trades industry

  • Strong organizational and multitasking skills with the ability to manage a high volume of calls and schedules

  • Excellent verbal and written communication skills

  • Strong problem-solving skills and attention to detail

  • Proficient with computers and Microsoft Office applications

  • Ability to remain calm and professional under pressure

  • Excellent customer service skills

  • Strong problem-solving skills and attention to detail

  • Knowledge of HVAC systems and services is a plus

Roles and Responsibilities:

  • Schedule and dispatch HVAC technicians to customer locations for installation, maintenance, and repair services

  • Coordinate daily schedules to ensure optimal route efficiency and timely response to service requests

  • Communicate with customers regarding appointment times, delays, or changes to scheduling

  • Monitor the status of active jobs and provide real-time updates to technicians and customers

  • Maintain detailed records of all service calls, including job details, technician notes, and customer feedback

  • Handle customer inquiries, complaints, and follow-up calls in a professional manner

  • Assist in ordering and tracking necessary parts and equipment for service calls

  • Work closely with technicians, ensuring they have the required tools and information to complete each job

  • Other duties as assigned
