The Position

We are seeking a highly organized and proactive Office Coordinator to manage the day-to-day operations of our office with efficiency and attention to detail. In this role, you will ensure seamless administrative functions, supporting a collaborative team environment.

The ideal candidate will demonstrate leadership skills, maintain effective communication with internal and external stakeholders, and oversee a variety of operational tasks to ensure smooth office workflow. Multitasking, time management, and a commitment to service excellence are essential to succeed in this role.

Job Responsibilities

  • Report directly to the Executive Director and be readily available to assist them with anything they require
  • Work with the Manager of Partnerships and Fund Development, as well as the Volunteer Coordinator, on a regular basis regarding corporate partnerships and donations.
  • Interact with Guests of The Gathering Place by phone and directing their calls to the appropriate
  • Interact with donors both in person and by
  • Responsible for submitting all monetary donations into the necessary software, issuing official tax receipts, as well as thank you
  • Responsible for preparing all deposit sheets, coding all accounts payable invoices, and reconciling the monthly Visa
  • Responsible for preparing deposits and maintaining petty cash
  • Interact with the external accountant on a weekly basis, as well as the external auditor for the yearly
  • Responsible for picking up mail, date stamping, and delivering items to the correct departments.
  • Responsible for ordering all office supplies for each

Key Qualifications:

Education & Experience

  • Diploma in accounting or administrative assistant

Skills:

  • Excellent time management skills and ability to multi-task and prioritize responsibilities and deadlines
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Strong relationship building skills
