Overview
GGA Partners is an international consulting firm and trusted advisor to many of the world's most successful golf courses, private clubs, resorts, and residential communities. We are looking for a highly motivated, capable, and experienced Executive Assistant to join our growing team and take responsibility for supporting senior leadership at the firm.
Key Responsibilities
An Executive Assistant is an important internal and external facing position that requires a balance between being a key point of contact between senior leaders, clients, and internal stakeholders and managing a heavy administrative workload. You will support three Senior Leaders and be responsible for their diary and inbox, travel, and expense management, assuring their time is utilized efficiently. You will also work closely with Internal Operations, ensuring our team and offices are properly managed. This is a structured role and would suit a structured person; however the alternative aspect of the role is dealing with people, so you also need to be able to manage constant change and reprioritization. - Complex, demanding and ever-changing diary and inbox management
- Travel planning and booking
- Expense management
- Develop robust working relationships with all internal and external stakeholders
- Preparation of internal and external communications
- Preparation of presentations and proposal documentation (MS PowerPoint and Word essential)
- Organizing team events, including lunches, retreats, and social events
- Ensuring offices are operating efficiently, including supply and inventory management
Qualifications and Skills
- Prioritize, be proactive, think ahead, anticipate problems and provide solutions
- Confident making nuanced judgements, prioritizing time and effort
- Innate sense of urgency in everything you do
- Acute attention to detail ensuring work is produced accurately and of the highest possible standard
- Excellent time management skills; able to manage conflicting priorities and unforeseen change
- Thrive in a fast-paced environment; have high levels of energy, tenacity and focus
- Intuitive; able to assess a situation and take initiative but also not be afraid to ask for help when required
- Completer Finisher; always follow up and be accountable
- Advanced knowledge of the MS Office suite, in particular Outlook, Word, PowerPoint, and Excel
- Possess integrity and can be discreet, trustworthy and completely reliable
