Position Overview:

We are seeking organized and proactive Site Administrators to join our team for future opportunities. In this role, you'll be essential in supporting site operations, facilitating smooth coordination between departments, and ensuring our projects run efficiently. As a key point of contact for both staff and contractors on-site, you will maintain accurate records, oversee daily administrative tasks, and uphold our commitment to safety and quality on every project.

Key Responsibilities:

  • Manage on-site documentation using platforms such as Aimsio, SharePoint, and monday.com.
  • Support onboarding and offboarding for site employees and contractors through BambooHR
  • Coordinate with the Project Controls Lead and assist with day-to-day site management, tracking project milestones, managing logistics, and maintaining accurate records for Labor, Equipment, and Material Sheets.
  • Organize booking of flights, accommodations, and camp coordination, ensuring all travel and housing needs are aligned with project schedules.
  • Track attendance and personnel data, including timesheets and compliance records, ensuring seamless integration with company systems.
  • Assist in site inventory management, ensuring timely procurement and allocation of materials to meet project demands.
  • Schedule and facilitate meetings, prepare agendas, and document key discussions to ensure alignment on project goals and milestones.
  • Act as the primary contact for on-site issues, escalating them to the appropriate team members as needed and facilitating smooth communication with the corporate office.

Required Qualifications:

  • Diploma or certificate in Business Administration, Office Management, or a related field.
  • 2+ years of experience in administrative roles, ideally within the oil & gas, energy, or construction industries.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with project/people management software such as BambooHR, Aimsio, SharePoint, and monday.com.
  • Familiarity with safety regulations and compliance requirements within industrial work environments.
  • Strong organizational skills, attention to detail, and the ability to handle multiple tasks in a fast-paced environment.

  • Problem-solving abilities, with a proactive approach to handling on-site challenges.
