Receptionist

Location: 863 Nebo Road, Hannon (Ancaster), Ontario

Responsibilities:

· Creates a welcoming environment by greeting guests, answering phone calls, directing visitors, and taking messages for employees

· Takes customer complaints or issues and pass them on to the appropriate parties

· Creates and distributes company memos through email, letters, or telephone calls

· Schedules and maintains the calendar of company executives and overall for plant tours and other similar events

· Coordinates the booking and setting up of meeting rooms

· Organizes and files company documents either electronically or with a paper filing system

· Provides support for teams when necessary

Invoicing:

· Calculate additional charges, such as shipping costs, to include in invoices

· Ensure every invoice sent out is accurate

· Resolve billing errors that other staff or customer's flag

· Work with other members of the financial staff, such as Accountants and Bookkeepers

· Perform any necessary administrative duties, such as auditing customer records

· Prepare account statements for customers

· Follow up on proper filing and uploading of documents, i.e. BOLs, statements, etc. as required to electronic retention system

Skills Required

· Time management skills to be able to prioritize activities, especially when there is a high volume of tasks

· Understanding of basic accounting math

· Attention to detail; excellent written and verbal communication skills, able to keep accurate accounting, financial entries, and records

· Positive attitude for greeting customers and clients in a friendly and warm manner upon arrival to the office or through the phone

· Communication skills to be able to communicate with internal team members or clients and understand their needs

· Strong organizational skills to keep track of multiple events organized at the site and invoicing records created

· General administrative skills, including managing emails, basic computer and Microsoft based programs, and accounting / invoicing details

· Flexibility to be able to move between activities and duties quickly if priorities change

Other Qualifications

· 2+ years experience in reception or other office related environments

· 2+ years experience with invoicing or other similar types of roles dealing with math

· Proficient in the Microsoft Office suite of programs

· Strong and effective communication skills, high sense of professionalism

· Team player

· Highly motivated with a strong ability to take initiative

· Excellent organizational skills and the ability to prioritize multiple tasks simultaneously.

· Strong sense of urgency and the ability adopt in a fast-paced environment
