Position: Accounting Coordinator - Accounts Payable

Posting Number: #24-103

Reports to: Controller

Union: BCGEU

Compensation: $27.39-$29.69/hour

Schedule: 8:30am-4:30pm, Monday-Friday (75 hours bi-weekly)

Position's Primary Objectives:

Under the guidance of the Controller, the Accounting Coordinator, performs a variety of accounts payable, receivables and accounting administrative tasks to support responsible management of the Society's financial assets.

Participates as a key member of the Finance team responsible for payables and other finance duties including:

  • Performing accounts payable functions;
  • Performing accounts receivable functions; and
  • Providing general and administrative support to various Finance functions.

Key Responsibilities:

1. Performs accounts payable transaction processing including:

  • Open and distribute mail and invoices for managers approval;
  • Code invoices based on approved coding list (eg: utilities, service contracts), budget or internal procedures;
  • Enter coded invoices and credit cards in Yardi;
  • Reconcile vendor statements, research and correct discrepancies;
  • Help set-up vendor recurring templates;
  • Respond to potential vendor or employees inquiries about issued payments;
  • Issue and file vendor payments and employees expense reports;
  • Cover for AP assistant time out of the office; and
  • Assist with other projects as needed.

2. Performs accounts receivable transaction processing including:

  • Verify batches of rental payments and other receivables;
  • Prepare bank deposits and deposit them to the bank;
  • Laundry count coin and deposit to the bank;
  • Charge back tenants as per management instructions (eg; NSF fees);
  • Assist with reconciling day-to-day bank transactions and month-end statements for accounts related operations; and
  • Run or prepare a variety of reports for the Executive Team.

3. Performs other accounting functions including:

  • Assist with month-end related tasks such as entering month-end entries and bank reconciliation; and
  • Provide coverage for the Accounting Assistant – Accounts Payable and Receivable.

4. Help maintain tidy and organized kitchen and office supplies storage area at Cormorant office.

5. Monitor and consolidate replenishment list of office and janitorial supplies for Cormorant office for order to be placed by reception.

Requirements

Note: An equivalent combination of education and experience may be considered

Education:

  • Formal post-secondary training in accounting

Experience:

  • 3+ years related accounting or administrative experience
  • Experience with and knowledge of related software programs preferable (i.e. Yardi, Avanti)
  • Property management related experience would be considered an asset
  • Experience with Microsoft Office, including Outlook, Excel, Word
  • Experience in efficiently dealing with problem customers
  • Experience with all forms of payments (i.e. debit, cheque, cash, online banking etc.)

Knowledge, Skills and Abilities:

  • Excellent communication and interpersonal skills
  • Ability to work to deadlines
  • Proficient in computerized accounting systems
  • Proficient in MS Office suite
  • Excellent attention to detail and accuracy
