Operations Assistant – Toronto

Job Description

Adams + Miles is seeking an Operations Assistant for our Toronto location.

The operations assistant in our Toronto office wears many hats, primarily in his/her role as a support person for the partners, managers and condo team in Toronto. Duties include general office administration, reception duties, and undertaking special projects as needed.

Requirements

  • Superior organizational skills and a proactive approach to work
  • Ability to work independently with minimal supervision
  • Excellent accuracy and attention to detail
  • Excellent computer skills (a solid knowledge of Windows, Microsoft Word/Excel, Outlook, Teams, and the ability to learn and adapt to new/unfamiliar software packages quickly)
  • Excellent phone and e-mail manner and a high level of competence when communicating
  • Ability to prioritize work to ensure assignments within given deadlines without sacrificing accuracy or quality
  • Excellent time management skills and the ability to work under the pressure of last-minute deadlines
  • Discretion and to handle sensitive materials
  • Versatility, adaptability and high tolerance for change
  • Discretion, tact, diplomacy, and sound judgment
  • Ability to work overtime as required, sometimes with short notice
  • A team player.

Detailed Responsibilities

  • Provide general administrative support to the office
  • High-volume scanning of documents
  • Couriering of documents
  • Assist the condo team with coordination of audit boxes to and from the client location
  • File scanning/photocopying as required
  • Receiving, sorting, saving and distributing of daily mail
  • Answering, screening, and forwarding calls as necessary
  • Maintain office/kitchen supply inventory
  • Lunchroom organization and maintenance
  • Assist with special projects as required
