Job Title: Document Control Lead

Reporting to Skeena's Director of Construction and Engineering, or their designate, the Document Control Lead is responsible for leading a team of Document Controllers and overseeing the organizing and maintaining of project documents such as Submittals, Requests for Information (RFI), Earthworks/Construction Reports, Safety Reports, Engineering Reports, Field Reports, Management Reports, Quality Reports, Design Drawings, Vendor Contracts etc. This position is vital in ensuring that all project documentation is accurate and accessible for team members and stakeholders and in ensuring that the organization's record management system is running optimally.

Position Responsibilities (including but not limited to):

•Lead Skeena's document control function by directing and advising multidisciplinary teams on optimum document control processes

•Regularly check in with project teams and departments to ensure document control procedures are being rigorously and consistently applied.

•Receive, record, and distribute relevant documents such as design drawings, contracts, technical specifications, reports, and correspondences.

•Communicate effectively with all stakeholders across multidisciplinary teams and where necessary arrange meetings and lead discussions on possible process improvements.

•Work closely with both internal and external parties such as contractors and vendors to receive and distribute project documentation.

•Manage an organized document control system, ensuring that all documents are filed in a structured manner and are easily retrievable.

•Lead and guide Skeena's team of Document Controllers, and provide direction on workflows, timelines and division of document control duties.

•Act as first point of contact for the document control team members to ask questions and troubleshoot document control issues with.

•Track and constantly monitor documents to ensure all document updates are accurate and consistent and that up-to-date versions are in use at all times. Communicate all document changes effectively with the related team members.

•Implement and oversee version control procedures to ensure document integrity and accuracy.

•Provide quality assurance checks and audits on the project documentation to verify accuracy, completeness, and compliance with company standards and industry regulations.

•Collaborate with engineers and project managers to address any errors or issues with documentation.

•Provide training to internal and external parties, such as contractors, on Skeena's document control processes.

•Control access for documents and facilitate the correct distribution of documents to the appropriate individuals or teams, both internally and externally, granting the correct permissions as required.

•Utilize Skeena's existing software and systems to implement a robust record keeping system for both historical records and current records.

•Ensure compliance with the organization's document retention policies.

•Generate documentation status reports for management and relevant project teams.

•Liaise with internal and external stakeholders to ensure smooth document flow and resolve any document-related queries.

•Prepare and present regular reports on document control activities, including status updates, issues, and improvements.

•Serve as the primary point of contact for all document control-related inquiries and issues.

•All other relevant duties as assigned.

The Ideal Candidate

Education / Qualifications:

•A bachelor's degree in a related field or equivalent work experience.

Experience / Skills:

•3+ years document controls experience in an engineering or mining project.

•Proficient in Microsoft Office Suite (PowerPoint, Word, Excel).

•Experience in Aconex strongly desired.

•Experience in SharePoint is an strongly desired.

•Proven organization, planning, prioritization, and time management skills.

•Detail oriented with excessive attention to detail.

•Strong written and verbal communication skills.

•Exhibits a high degree of responsibility for confidential matters.

•Effective team player who can jump in wherever is needed.

•Strong interpersonal and reasoning skills, with proven problem-solving abilities.

•Self-motivated with the ability to work independently as well as with others.

Working Conditions:

This is an office-based job, in Skeena's Corporate office located in Vancouver, BC, on a Monday to Friday schedule. Hybrid working arrangements may be considered.

This job requires the incumbent to be able to work away from home occasionally and to be able to travel to different work locations or events outside of regular office hours as well as traveling to Skeena's remote project sites and collaborate with internal and external parties.
