ABOUT THE ROLE
We are seeking an organized individual with strong organizational skills to fill the position of Receptionist. The Receptionist is responsible for a wide variety of administrative duties, including providing administrative and office support activities for the Fort McKay First Nation Community Health & Wellness Department Family Support Team. This is a temporary full-time position for approximately 2 months, with the possibility of extension. This position is based on seventy-five (75) hours bi-weekly, some evenings and weekends beyond the standard work week will be required to meet the operational needs of the department. The incumbent may need to work outside of regular working hours occasionally.
KEY RESPONSIBILITIES
Primary responsibilities include, but are not limited to:
  • Answering general phone inquiries in a professional and courteous manner
  • Directing phone inquiries to the appropriate staff member
  • Reply to general information requests with accurate information
  • Greet visitors to the organization in a professional and friendly manner
  • Sort incoming mail, faxes, and deliveries for distribution
  • Prepare and send outgoing faxes, mail, and packages
  • Forward incoming general e-mails and calls to the appropriate staff member
  • Data entry and upkeep of the organization's databases, ensuring a high level of accuracy
  • Perform clerical duties, such as word processing, spreadsheet, database, or presentation software to prepare reports, memos, letters, and other documents
  • Prepare meeting agendas, attend meetings, and record and transcribe minutes
  • Draft correspondence and reports
  • Make travel arrangements, prepare expense reports, and order and maintain office supplies, including copier and plotter infrastructure
  • Develop or maintain a records management system (including classifying and coding electronic and hardcopy files)
  • Operate and maintain personal office space, staff room, and office equipment such as fax machines, photocopiers, voice mail messaging systems, and computer scanning equipment
  • Ensure the boardroom and kitchen areas remain clean and tidy
  • Ensure the Family Support area remains organized and tidy
  • Provide administrative support to the Family Support team as needed
  • Provide support for special events initiatives
  • Other duties as assigned
KEY REQUIREMENTS
  • High School Diploma or Equivalent
  • One to three years of clerical or administrative support experience is an asset
  • Knowledge and experience using Microsoft Office programs including Outlook, Word, Excel, etc.
  • Proven experience handling phone systems, scheduling appointments or meetings, handling correspondence, and maintaining office supplies and organization
  • Valid Class 5 driver's license is required
  • Must provide a Clean Drivers Abstract
  • Must provide a clear Criminal Record check with Vulnerable Sector
  • Ability to speak Cree or Dene is a definite asset
  • Experience working in an Indigenous community including knowledge of First Nations culture, traditions and values is considered an asset
