Job Description

In this role, you will provide Project Management Support and will assist the Project Control Office and Project teams with various project activities which will include - documentation, financial, planning, coordination, and contracting aspects for the projects.

Tasks will include:

  • Provide advice and support to project activities throughout the project's life cycle where you will produce and review project documents and costing required for each project approval phase guided by the Project Approval Directive, and the Defence Procurement Process.
  • Collate, synthesize, and summarize projects' financial data, and prepare financial documents, using predefined formats and templates.
  • Plan, recommend and coordinate project management activities including financial, planning, and contracting aspects.
  • Coordinate and prepare documentation in response to scheduled and unscheduled reports, and update management on project progress.
  • Track trajectory, progress and operations of projects and report the progress of projects on an ongoing basis, including coordinating and producing brief materials and related documents.
  • Develop and update dashboards using tools such as Power BI etc.
  • Enter, track, and manage projects' data into systems such as DRMIS, RDIMS, other Databases etc.
  • Engage with stakeholders and other project managers (PMs) and solve problems cooperatively.
  • Coordinate, draft, and prepare formal project documents and reports for signature.
  • Develop project control and reporting procedures and manage changes in operational plans.
  • Develop and manage project management documents and their templates, including the project management plan, communication plan, procurement strategy, risk register, document management control process and SLAs.
  • Track, manage and provide recommendations for projects management plans for capital projects including all sub plans such as requirements management plan, schedule management plan, risk management plan, change management plan, communication management plan, procurement management plan, etc.
  • Conduct post-project reviews; develop and manage lessons learned.
  • Develop and manage SOPs, and documents for minor capital projects.
  • Work with a variety of project management tools including MS Project, IBM DOORS, M365 Productivity apps, etc.
  • Coordinate meetings for major capital project milestones.
  • Contribute to the organization's strategic and business planning initiatives.
  • Contribute to the development of the organizational vision and mission; and
  • Perform any other work related to this category.
Qualifications
  • A strong project management background.
  • A Secret clearance with PSPC will be required.
  • Availability to work on-site in Gatineau.
  • Experience needed with the following: MS Project, MS Visio, Word, Excel and MS Team experience.
  • A strong asset to have the following experience:
    • Share Point, DRMIS, RDIMS, and Power BI.
  • Familiar with the procurement approval process with DND or other departments. The directorate that this role is part of supports the procurement of military equipment.
  • Requirements include:
    • PMP (Professional Management Professional) Certification and proof of Undergraduate level university degree in Engineering, Mathematics Science, Project Management, Business Administration or suitable engineering or technical field required to support Land C4ISR (Land, Command, Control, Communications, Computers, Intelligence, Surveillance, and Reconnaissance)
    • A minimum of 5 years experience within the last 9 years in at least 8 of the following criteria/tasks:
      • Demonstrated experience working as a Project Manager for projects more than $1 million per year expenditure.
      • Demonstrated experience preparing and presenting technical and management documents.
      • Demonstrated experience in stakeholder and communications management in a project context.
      • Demonstrated experience in project financial management for projects more than $1 million per year expenditure.
      • Demonstrated experience in project scope management for projects more than $1 million per year expenditure.
      • Demonstrated experience in project schedule management for projects more than $1 million per year expenditure.
      • Demonstrated experience in project risk management for projects more than $1 million per year expenditure.
      • Drafting correspondence and making recommendations on the acceptance or rejection of deliverables.
      • Preparing Contract Deliverable Requirements Lists (CDRLs) and Data Item Descriptions.
