THE ROLE

We are working with a client who is a well-known leader in real estate and business law including construction, insurance, infrastructure, and commercial litigation. Our client operates nationwide, and we are currently we are looking for a Senior Legal Administrative Assistant who is adaptable and focused for theirVancouverlocation. This firm has close to 80 lawyers between their locations and provides a wide range of legal services.

RESPONSIBILITIES:

Provide support to partners and associates with a variety of legal administrative tasks to ensure the practice operates smoothly and efficiently.

Prepare correspondence, pleadings, legal documents, and agreements for lawyer review.

Answer phone calls and direct communications; manage lawyers' email inboxes.

Handle dictation, take notes, and conduct research (including legal, precedents, procedures, and client information).

Coordinate the flow of information internally and with other departments or organizations.

Schedule meetings, examinations, mediations, arbitrations, trials, and hearings, ensuring that dates and deadlines are tracked in calendars and reminders.

Prepare, serve, and file court documents (including assembling, printing, and collating) while ensuring correct forms and formats; coordinate with process servers and courthouses.

Conduct client screening and intake; open and close files; perform conflict searches; prepare files for offsite storage; maintain file and client contact lists.

Establish and manage filing systems, applying knowledge of legal records and procedures while handling confidential materials and documents.

Enter dockets and prepare expense forms for disbursements; enroll lawyers in CPD, events, or conferences.

Assist lawyers in preparing presentations (in-person, web-based, slide shows, etc.).

Mentor new LAAs and stay updated on changes to court procedures and practices.

Maintain an active membership list of lawyers in professional associations (including login and password); keep CPD lists updated; manage the Law Society portal information and ensure timely filing of reports.

REQUIREMENTS:

Law Clerk, Paralegal, or LAA program/certificate and/or relevant experience

At least 5 to 7 years of experience in litigation

Familiarity with the daily operations of a legal office

Strong written communication skills, with a focus on accuracy and attention to detail

Proficient in case management software

Experience in establishing, implementing, or enhancing workflows and administrative procedures

Excellent time management, prioritization, and organizational skills; able to communicate conflicting timelines and seek guidance from lawyers

Ability to maintain a positive and calm demeanor in a fast-paced environment

Knowledge of all stages of litigation, as well as court rules and procedures across various jurisdictions

Experience working in a team environment, with strong communication and interpersonal skills

Reliable and dependable

Flexibility to accommodate lawyers preferences

Willingness to adapt to and learn new technologies and computer programs
