We are looking for a dedicated and enthusiastic Volunteer Coordinator to join our small but dynamic team at the Social Concern Office. In this role you will be at the heart of our operations, recruiting, training, and scheduling volunteers to support our programs, events and daily operations. You will also provide essential and administrative support to ensure everything runs smoothly and will step in to cover for the Food Pantry Coordinator or Program Coordinator when needed.

Highlights:

Volunteer Coordination:

  • Inspire and Attract Volunteers: Develop and implement creative strategies to recruit volunteers, including posting opportunities, advertising, and attending career fairs.
  • Lead Daily Huddles: Facilitate daily meetings with volunteers to foster socialization, provide service updates, and conduct Health & Safety training.
  • Support and Empower Volunteers: Ensure volunteers have all the tools and information they need, answering their questions and providing guidance.
  • Proactive Recruitment: Communicate volunteer needs and update opportunities to attract new volunteers.
  • Training and Onboarding: Develop training tools with the Program Manager, onboard new volunteers, and ensure all necessary paperwork and clearance letters are completed.
  • Scheduling and Coordination: Schedule volunteers to ensure adequate coverage for events and activities.

Administration:

  • Documentation: Update volunteer role descriptions, manuals, and referral programs as directed.
  • Communication: Monitor phones for service requests and delegate tasks as needed.
  • Data Entry: Complete data entry in the appropriate database, including information from other coordinators.
  • Office Maintenance: Maintain office supplies and request service for office equipment as needed.
  • Reporting: Document volunteer recruitment, onboarding, retention, and worked hours, and report monthly to the Program Manager.

Our ideal Administrative Assistant will bring the following:

  • Minimum 1 year of experience in volunteer coordination and engagement.
  • Experience working with vulnerable populations, including families.
  • Positive and friendly attitude with excellent communication skills.
  • Demonstrated proficiency in Microsoft Office 365, MSTeams and Outlook

  • Self-Motivated: Ability to work with minimal supervision and handle pressure and competing priorities

Additional Requirements

  • A criminal record check including a Ministry of Justice Vulnerable Sector Clearance Letter is required prior to hiring.
  • Valid drivers license and access to a vehicle
  • Physical ability to do the job
