Introduction:
Reporting to the Director, Communications, the Communications Coordinator will be responsible for supporting the day-to-day operations of the ICES Communications department.
Responsibilities of the position include, but may not be limited to:
- Responsible for the management of various internal communications vehicles, such as the ICES intranet, monthly staff meetings, weekly newsletter, e-bulletins/announcements;
- Generate content, compile and edit the weekly internal newsletter for distribution across the ICES network;
- Create and post intranet content; work with internal stakeholders to develop research and non-research content, ensure branding, formatting and consistency throughout intranet;
- Liaise with Senior Communications Officer to draft and post content on the ICES website, and provide additional web support and cross-coverage as needed;
- Proofread and edit a variety of communication products including atlases, reports, newsletters, social media, e-bulletins;
- Responsible for gathering the mandatory reporting requirement to the Ministry of Health of all ICES publications and for the tracking of all ICES studies;
- Maintain up-to-date records of ICES publications and projects for internal or external dissemination as required;
- Manage corporate email inboxes and respond directly to email inquiries from staff and scientists across the ICES network, either directly or by referring to the appropriate source of information as required;
- Responsible for taking photos of new staff for active directory and staff intranet profiles, take photos at internal corporate and social events as required;
- Liaise with the Finance and Procurement departments to oversee communication contracts, accounts and purchase requisitions with external service providers;
- Manage monthly staff meetings, initiate agenda items, coordinate logistics with satellite sites, and liaise with IT to ensure smooth delivery of content;
- Assist with design elements of ICES products, liaise with graphic designers/consultants to develop products;
- Maintain agenda for communications team meetings; manage the repository of communications files and folders;
- Work collaboratively with communications team members and provide input, cross-coverage and assistance as required;
- Bring ingenuity and creativity to the broader communications department at ICES, including the development and implementation of new ideas, products, initiatives and processes;
- Other duties as may be assigned within the scope of this position.
Knowledge, skills and abilities required:
- Bachelor's Degree in Public Relations, Journalism, Marketing, Communications or related field;
- One to two years of directly related experience in a communications or public relations environment; preferably in healthcare/research field;
- Strong proofreading, oral and written communication skills;
- Ability to work effectively with individuals across a wide range of functions and levels across the organization, as well as with external partners and stakeholders;
- Intermediate to advanced skill level with Microsoft Office (Word, Excel, PowerPoint, SharePoint and Outlook);
- Knowledge of website CMS is an asset;
- Strong email marketing experience is preferred;
- Maintain strict confidence as required when interacting with stakeholders;
- Ability to multi-task, works accurately and effectively under pressure, meets deadlines, and remains composed in high-pressure situations;
- Understanding of research, medical and epidemiological terminology, and familiarity with the health care system and key stakeholder groups is an asset.
This is a full-time opportunity at ICES Central. Successful candidate must reside within Ontario while working remotely and able to come into the office if required from time to time. There may be instances where in-person meetings are requested; however, ICES continues to support Flexible remote work arrangements anywhere in Ontario.
Security clearance may be required.
