Your mission should you choose to accept it.
As a part time Office Administrator, you are a ScalePad culture cultivator; incharge of creating a positive, efficient and safe working space. Monday-Wednesday each week, you are responsible for working in the Markham office, professionally greeting Rocketeers and connecting clients, consultants and vendors to the appropriate team member. The Office Administrator plays a pivotal role in the support of our teams and ultimately acts the go-to person for all individuals located in the office.
Responsibilities.
- Available in office Monday-Wednesday 8:00am-4:30pm EST, with flexibility for occasional shifts to accommodate events.
- Ensure a high level of service is provided to all who enter the office.
- Keep the reception and front lobby area tidy and presentable at all times.
- Maintain daily courier schedules & book couriers.
- Process and distribute incoming and outgoing correspondence.
- Working directly with our People & Culture team to ensure continuous communication between office locations.
- Coordinate with external vendors for various purposes including office supplies, catering, printers, snacks, coffee, etc.
- Assist with boardroom management including bookings, set up/ clean up, and troubleshooting with equipment.
- Supporting in the creation and execution of events.
- Liaise with building management on repair of maintenance issues.
- Ad-Hoc supporting other departments with various tasks and duties
- Ensure cleanliness of staff kitchen; load and unload dishwashers, contain catering dishes and consolidate food items.
Qualifications.
- 1+ years experience in a similar role (Office admin, reception etc.)
- Committed to providing the highest level of customer service
- Consistently reliable, punctual, and proactive
- Experience with G-Suite in a professional setting and IT-savvy (ability to troubleshoot is an asset)
- Experience with coordinating events keeping inclusivity at top of mind (bi-monthly & holiday events)
- Assertive communication skills, both written and verbal.
- Ideally experience with a task management software (eg. Asana).
