Position Overview:
The Payroll Specialist is responsible for processing and managing payroll for employees, ensuring accurate calculation of wages, deductions, and benefits. This role requires knowledge of Ontario's labor laws, tax regulations, and the ability to maintain confidentiality while handling sensitive employee data.
Key Duties & Responsibilities:
- Payroll Processing:
- Accurately process bi-weekly pay for all employees in accordance with Ontario labor laws.
- Ensure compliance with Employment Standards Act (ESA) and other relevant legislation.
- Calculate wages, overtime, bonuses, and deductions such as taxes, CPP, EI, and other benefits.
- Must be familiar dealing with hourly wages and compliance around it.
- Timekeeping & Attendance:
- Manage time and attendance records, ensuring all hours worked are accurately captured.
- Resolve discrepancies related to employee time, attendance, and wage calculations.
- Deductions & Contributions:
- Administer group benefits and pension plans, including enrollments and deductions.
- Ensure accurate reporting and remittance of WSIB, EHT, and other payroll-related contributions.
- Compliance & Reporting:
- Stay up to date with changes in payroll legislation and tax regulations in Ontario.
- Prepare and file payroll tax returns (T4s, T4As, ROEs) on time.
- Assist with year-end payroll processing and audits.
- Employee Inquiries:
- Respond to employee payroll inquiries, resolve discrepancies, and provide support on payroll-related matters.
- Educate employees on pay, deductions, and benefits as needed.
- Systems & Data Management:
- Maintain payroll systems and records, ensuring data integrity and confidentiality.
- Assist in the implementation and optimization of payroll systems biometric clock system.
Qualifications:
- Minimum of 5 years of experience in payroll processing, preferably in Ontario.
- Knowledge of Ontario Employment Standards Act (ESA) and payroll-related tax regulations.
- Proficiency with payroll software (e.g., ADP or Ceridian)
- Experience working on any HRIS software
- Payroll Compliance Practitioner (PCP) designation is an asset
- Ability to work closely with the Human Resources team on the administrative aspect of payroll and benefits
- Advanced Excel skills
- Strong attention to detail, confidentiality, and analytical skills.
- Excellent communication and problem-solving abilities.
