Our recruitment team is currently working with a dynamic Plumbing and Heating company facing incredible growth located in Hamilton, seeking a Scheduling Administrator. This is a full time permanent position from 8 am to 5 pm Monday to Friday in office.

The Role

This position is responsible for coordinating the schedules of technicians, managing service requests via email and phone calls, and ensuring that customer needs are met promptly and efficiently. The Scheduling Administrator plays a critical role in ensuring the smooth operation of our plumbers and portable toilet technicians.

Responsibilities

  • Answering customer phone calls, emails and scheduling all technicians
  • Assign service calls to technicians based on their availability, location, and expertise
  • Adjust schedules as needed to accommodate urgent requests or changes
  • Create and manage work orders into the software system
  • Communicate with technicians to ensure they have all necessary information, tools, and materials for each job
  • Monitor the progress of jobs and make real-time adjustments as needed
  • Data entry Accounts Payable and Accounts Receivable into QuickBooks
  • Submitting all technicians daily paperwork

Requirements

  • 2+ years of administrative and or customer service experience is required
  • Dispatching or scheduling technicians experience is preferred
  • Experience with MS Office and QuickBooks is preferred
  • Post secondary education is preferred
  • Strong organizational skills, excellent communication abilities, and a customer-focused mindset
  • Strong problem solving skills as well as critical thinking in order to make decisions under pressure
