Position Overview:
The Payroll Specialist will help run Canadian payroll functions, ensuring pay is processed on time, accurately, and in compliance with government regulations. The ideal candidate will be hands-on, and is expected to manage day to day payroll operations for all employees, and support HR on payroll related topics.

Key Responsibilities:

  1. Payroll Processing:
    • Manage the full payroll cycle, including data entry, processing, and distribution of paychecks.
    • Verify timekeeping records and ensure accurate calculation of wages, benefits, and deductions.
    • Ensure compliance with provincial and federal payroll regulations, including tax withholdings, benefits, and employment standards.
    • Handle payroll for different employee categories, including full-time, part-time, hourly, and contract workers.
  2. Payroll Systems & Reporting:
    • Maintain and update payroll systems to ensure data accuracy and integrity.
    • Generate and distribute payroll reports to management and stakeholders.
    • Reconcile payroll accounts and resolve any discrepancies.
    • Prepare and submit statutory payroll filings, including T4s, ROEs, and other tax documents.
  3. Compliance & Auditing:
    • Stay current with changes in payroll laws and regulations, ensuring company-wide compliance.
    • Conduct regular audits of payroll records and procedures to maintain accuracy and compliance.
    • Address and resolve payroll-related inquiries and issues from employees and management.
  4. Team Collaboration:
    • Work closely with HR to manage employee benefits, including deductions for health insurance, retirement plans, and other benefits.
    • Collaborate with the Finance team to ensure accurate financial reporting and budgeting.
    • Provide training and support to HR and other departments on payroll-related matters.
  5. Process Improvement:
    • Identify and implement process improvements to increase efficiency and accuracy in payroll operations.
    • Develop and document payroll procedures and best practices.

Qualifications:

  • Education: Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • Certifications:
    • Certified Payroll Manager (CPM) through the National Payroll Institute (NPI), formerly known as the Canadian Payroll Association (CPA).
    • Payroll Compliance Practitioner (PCP) certification is required.
    • Other relevant certifications in payroll or human resources are an asset.
  • Experience:
    • Minimum of 5 years of experience in payroll management, with at least 2 years in a supervisory role.
    • Strong knowledge of Canadian payroll regulations, including Alberta-specific laws.
    • Experience with payroll software and systems (e.g., ADP, Ceridian).
    • Experience in the Early Childhood Education sector is an asset, though not mandatory.
  • Skills:
    • Excellent attention to detail and accuracy.
    • Strong analytical and problem-solving abilities.
    • Ability to manage multiple tasks and meet tight deadlines.
    • Exceptional communication and interpersonal skills.
    • Proficiency in Microsoft Office Suite, particularly Excel.
