Project Coordinator
Job description
Helical Pile Solutions is a deep foundations contractor with over 30 years of experience in the industry, recently acquired by Java Holdings Ltd. (“Java”). Java staff have over 50 years of experience building some of Canada's largest electrical infrastructure projects. We are seeking a Project Coordinator to provide support to our project leadership team.
As a Project Coordinator, you will be the right hand to the Project Management Team to ensure the project runs smoothly using project systems and processes related to scheduling, reporting, and compliance.
Requirements
Your responsibilities include:
· Provide execution and coordination support which include but are not limited to:
o Reporting – Monitor project progress and create project status reports for project managers and stakeholders. This includes data collection and verification as required.
o Project Delivery – Track project milestones ensuring deliverables are completed and meet project requirements, including assisting with resource scheduling.
o Meetings – Schedule meetings and facilitate communication between the project manager and stakeholders throughout the project life cycle and follow up on actions.
o Formal Communications – Manage project-related inquiries or escalations and provide formal responses in a timely manner.
o Schedule management – Develop, maintain and monitor project schedule and tasks.
o Cost management – Prepare reports and track costs including change request backup.
o Risk Management – Prepare, maintain and monitor risk register and gather updates.
o Documentation – Maintain project documents such as the project plan, budget, schedule or scope statement, as directed by the project manager.
o Additional Support – as requested by the project manager such as tracking status of quality documentation, financial information, etc.
o Assist with gathering project requirements from various internal teams.
o Use of approved systems in alignment with company expectations.
o Promote a culture of health, safety, and environmental protection on the project.
Your background and credentials must include:
· Degree or certification in business administration, project management, or a related field
· 2 to 4 years' experience in a fast paced administrative or coordinator role
· Utility construction experience (such as transmission, distribution, substations, telecom) is a strong asset, including working in a construction office at site
· Excellent interpersonal and communication skills and are confident interacting with key contacts at all levels in verbal, written and electronic form
· Exceptional eye for detail and organizational skills in a dynamic, multi-tasking environment
· Proficiency with Microsoft Office.
· Working knowledge of project management and/or scheduling software such as MS Project.
· Proven ability to understand construction administration and contract commercial terms
· Analytical skills and a logical, independent problem solver
· Ability to maintain a high level of confidentiality and professionalism
