Position Summary:
The Project Coordinator, Closeout is responsible for supporting the Program Manager and Foreman in the day-to-day execution and administration for the on-going subcontract work on Taggart Construction sites in the Ottawa area. These projects include but are not limited to curbs, sidewalks, landscaping, asphalt, and deficiency works on infrastructure. In addition to the administrative duties of this role, the Project Coordinator, Closeout will also oversee site contract reporting and will provide support in verifying incoming project documentation.
Major Responsibilities:
- Act as the liaison between site construction/subcontractor teams and program managers. Ensuring communication is respectful with all parties to effectively relay project updates to key stakeholders (Development Owners, Consultants, City Representatives, Property Owners, Subcontractors, Builders Trades and Taggart team members).
- Assist the Program Manager, Foreman and Superintendent in planning, coordinating and supervising construction activities of sub-contractors including crew and equipment related to deficiency works.
- Coordinate with the Project Manager for proper procurement of construction materials ensuring timely delivery and accuracy of purchase orders. Confirm deliveries/ order fulfillment etc.
- Maintain documentation for each project daily and update Program Manager of daily progress and changes to the job sites.
- Collect and deliver various construction equipment, hand tools and material to sites daily, ensuring the crews on site have the appropriate tools available.
- Establish and monitor construction work schedules. Support the Foreman in the preparation of their activity logs. Communicate schedule changes to team.
- Communicate instructions to field staff on project specific tasks based on approved project plans and on-site conditions.
- Work independently on smaller scale construction projects, oversee quality assurance aspects of project delivery.
- Maintain plans, specifications, cost, and material estimates.
- Collect data on site to support the accurate preparation and updating of budgets.
- Expedite progress payment certificates, final payment certificates, sub-contractor's PPC's and all extra work orders as per contract.
- Maintain duties related to Occupational Health & Safety Act and Regulations for construction projects, including participation on accident investigation and reporting, health and safety committee meetings, claims management etc.
- Coordinate Utility Locates for various construction sites
- Catalog all hard copy and on the network new drawings and documents. Prepare thorough documentation on all construction projects.
- Collect and analyze survey information including taking elevation shots, producing grades off benchmarks and provide feedback to managers and subcontractors.
- Return excess materials to Taggart Construction shop at the end of a project.
- Assist in creating and organizing the Clean and CCTV work orders.
- Assist in as needed direction regarding work scope from Combo and CCTV unit keeping in line with stakeholder requirements.
- Assist in directing the preparation, processing and formatting of CCTV reports.
- Prepare and submit CCTV reports to clients.
- Occasionally perform physical tasks including lifting manhole, catchbasin and valve covers as needed for inspections and sign off.
- Perform additional assignments per manager's direction.
Education and Experience Requirements:
- Post secondary education in a construction, project management or related field is required, Bachelor or College degree in Civil Engineering Technician or Technologist program would be considered an asset.
- A minimum of 5 year's experience in construction related field is required. Experience in heavy civil construction projects is required. Prior experience working with water and sewer projects, specifically deficiency work and CCTV cameras are considered an asset.
- A valid driver's license and clean drivers abstract is required for the use of a company vehicle.
- Physical strength to lift tools and materials on site, with the ability to lift, hold, push and pull up to 85 lbs as needed.
- Strong client-facing and internal communication skills.
- The candidate should possess excellent written and verbal communication skills
- Solid organization, efficiency and multitasking skills, the ability to prioritize is key to this role.
- Proficient working knowledge of Microsoft Office is required, and other Project Management tools would be an asset.
Work Environment:
- Construction environment can be difficult conditions, loud, busy and will also require both outdoor and indoor work.
- Manual dexterity required - Moving from site to site in construction areas can be challenging, visual inspection of confined spaces.
- Providing service to several people or departments, working under many simultaneous deadlines
- Sitting or standing for long periods of time at workstation and in outdoor conditions.
