The Opportunity:

We're looking for a Supervisor, Operations - Estates to join our Operations team.

Reporting to the Senior Manager, Operations, the Supervisor, Operations - Estates is responsible for the supervision of the estate settlement process across all lines of business. In accordance with regulatory requirements and internal policies and procedures, the role provides daily guidance, training, and assistance to administrators/senior administrators in problem solving and ensuring processing and responsibilities are completed by the deadlines and service standards. In addition, the role will be responsible for providing first level oversight and approvals of daily tasks, where exceptions may be requested.

What your day looks like:

  • Supervise and coordinate all activities of the department to ensure timely and accurate processing, including prioritization of duties and shifting of resources
  • Handle escalations (internal/external), identify gaps/trends, and ensure customer service levels are maintained within the department
  • Design and implement quality controls and facilitate regular quality assurance tests
  • Collect and analyze key performance metrics for the department. Provide summaries of overall activity during the month, identifying any unique circumstances impacting the area and anticipated future events
  • Identify opportunities to streamline/improve processes where appropriate
  • In consultation with the Senior Manager, stay up to date with changing industry regulations and determine impacts to day to day operations
  • Monitor department workload and assess requirements to handle changes in volumes. Plan resources by prioritizing functions and re-aligning resources to meet target deadlines
  • Provide onboarding, training and on-going support to new and existing staff members. Maintain and have oversight over team training materials
  • Update and maintain the department's skills matrix
  • In consultation with the Senior Manager, establish annual performance goals and success indicators
  • Provide effective and ongoing performance feedback to staff members
  • Facilitate staff meetings to provide department updates and to encourage the sharing of ideas, soliciting topics of conversation relevant to the team
  • Cover responsibilities of the Senior Manager during times of absence, vacations, etc.
  • Prepare client complaint summaries and represent Estates with these enquiries

Requirements

Your experience and skills:

  • Post-secondary education and continuing education relating to the Investment Industry, specifically operations functions
  • In-depth knowledge of relevant regulatory requirements, the successful completion of the IFIC and/or the CSC is an asset
  • 3 years of experience in the Estates area
  • 3 – 5 years of progressively responsible experience in the investment industry, including past supervisory experience for a minimum of 1 – 2 years
  • Ability to function with autonomy and is well versed in working closely with Legal, Compliance, Trustee and Client Complaints departments
  • Fluent communication skills in English are required and bilingual skills in French are an asset
  • Excellent interpersonal skills including delegation and mentoring of staff
  • Strong attention to detail and accuracy along with organizational, time management and administrative skills
  • Ability to work under pressure, set priorities and meet project deadlines.
  • Solid analytical and problem-solving skills with the ability to handle multiple tasks in a fast paced environment, with the appropriate attention to detail
  • Superior customer service with the ability to quickly identify and resolve problems to the satisfaction of all parties
  • Highly motivated and results driven
  • Experience in existing systems (e.g. Dataphile) and system integration, along with incremental development

Salary

This position is posted with an expected salary range of $75,000 - $85,000 CAD annually. Individual compensation packages are based on various factors unique to each candidate and the requirements of the position.
