Job Title: Payroll SpecialistJob ID: SD427504574Location: Burnaby, BCOverview:Reporting to the Manager-Payroll, the Payroll Specialist is responsible for customer service excellence, payroll processing for union and non-union team members, partnering with internal stakeholders and supporting month-end and year-end processes. What you will be doing:Payroll Processing & Administration
- Processes full-cycle, in-house payroll for salary and hourly pay groups (union/non-union) accurately and on time
- Supports preparation and finalization of monthly, quarterly, and annual payroll reporting and taxes
- Processes terminations with Record of Employment (Web ROE), pay reversals and adjustments to maintain accuracy and completeness of employee payroll records
- Seeks opportunities to streamline & innovate (improve and/or reduce) work processes, inform stakeholders of risks and opportunities, collaborate cross functionally
- Ensures compliance with legislation, collective agreements, and the company policies
- Supports mid-year and year-end balancing including adjustments, reconciliations, taxable benefit processing, T4 summary, remittances, PIER, WCB reports, etc.
- Participates in payroll Year end processing, validation and review.
- Responds to general inquiries on payroll, benefits, entitlements and specific payments or deductions
- Provides a positive, supportive team member experience that aligns with the company's People First approach
- Uses excellent communication skills to ensure a simple, clear, and supportive communication when replying to payroll related inquiries
- Promotes awareness of payroll best practices and processes. (i.e. during new hire orientation)
- Create, updates, maintains and posts resources or other payroll-related documentation on the intranet site
- Audit time entries, troubleshoot issues related to time tracking, and provide training and support with timekeeping for client portfolio
- Runs and distributes routine and ad-hoc reports as requested, including analysis as needed
- Produces and reconciles audit and error reports; coordinates and processes any necessary corrections. Ensures each reconciliation is completed in full, and on time.
- Review and audit various reports such as unsubmitted/unapproved time and overtime/double-time reports each pay cycle
- Escalates change needs for GL accounts coordination with Finance
- Troubleshoots and analyzes variances, and process adjustments through manual journal entries
- Prepares journal entries, balances and reconciles general ledger accounts relating to payroll on a monthly basis
- Assists in the review and audit Concur employee expense reimbursement submission
- Supports pension plan processing, includes earnings reporting, lump sum calculations and other calculations
- Assists in balancing and reconciling pensionable wages and hours each pay
- Audits Sunlife GRRSP deferral file, reviews, and audits Canada Life (FLEX) benefits adjustments
- Prepares and uploads Canada Life Wellness taxable benefit file monthly
- Calculates top up amounts for maternity/parental/apprenticeship leaves, including STD earnings
- Calculates STAT holiday pay for hourly regular part time employees and top up stat entitlements
- Reviews, corrects and audits time entries and the benefit premiums for all workers on leave
- Calculates employee earnings for WCB Form 7, set temporary wage rate and calculate advances for employees on Workers Compensation, reconciles WCB advances and payments
- Partners with Health and Safety team on leaves, and benefits, to ensure employee pay is processed accurately and on time and report earnings to WCB/Canada Life and runs variance audit each pay
- Partners with People Services team & Talent Acquisition to process employee life cycle events
- Supports team to ensure accuracy of bonus payments, incentives and regular salary increases. Includes the annual Total Rewards Statements
- Participates and takes part in payroll related projects as assigned
- Diploma (2-3 years) - Payroll & Accounting
- Minimum 3 years of experience in a complex, large-scale, full-cycle payroll or equivalent combination of education and experience
- PCP designation, active member of CPA, strong knowledge of payroll regulations
- Experience and exposure to Workday, Epicor, Concur, Verint, ServiceNow, and/or similar, considered an asset
- 3 total years of payroll experience, with a preference for Workday
