Job Description: Office Receptionist ServiceMaster Restore Victoria
Company Overview: Join our dynamic team at ServiceMaster Restore, a leading restoration company dedicated to restoring homes and businesses to their pre-loss condition after disasters such as fire, water, and mold damage. With a commitment to excellence and customer satisfaction, we provide comprehensive restoration services across greater Victoria. We are currently seeking a diligent and dedicated Receptionist to join our growing team.
DUTIES & RESPONSIBILITIES
The following is a list of the essential duties and responsibilities of this job. The tasks and time spent performing each task may vary as business needs require. ServiceMaster maintains the right to modify job duties and responsibilities at its discretion.
DUTIES
Answering Phones: Manage incoming calls, provide information, take messages, and redirect calls as necessary.
Customer Service: Address customer inquiries and issues promptly and courteously.
Handling Correspondence: Manage emails, letters, and faxes, ensuring timely responses or forwarding to the appropriate department.
Assisting Office Manager: Support the office manager with various administrative tasks, including scheduling meetings, preparing reports, and coordinating office activities.
Data Entry: Input and update client information, project details, invoices and other relevant data into the company database
Office Maintenance: Keep the reception area tidy and well-organized, ensuring supplies are stocked.
Emergency Response Coordination: Handle initial contact during emergency situations, gather pertinent information, and dispatch calls to appropriate personnel.
Managing Social Media: Create and manage posts on social media platforms (such as Facebook, Instagram) to promote the company's services, engage with customers, and respond to comments and messages.
QUALIFICATIONS

Characteristic and Ability Requirements
Professionalism: Ability to always maintain a polished and professional demeanor, as the receptionist is often the first point of contact for clients and visitors.
Customer Service Orientation: A friendly and approachable attitude with a focus on providing excellent customer service to clients who may be in distress or dealing with challenging situations.
Communication Skills: Clear and effective verbal and written communication skills are essential for handling phone calls, emails, and in-person interactions professionally and efficiently.
Organizational Skills: Strong organizational abilities to manage appointments, maintain records, and keep the reception area and office materials organized.
Problem-Solving Skills: Ability to handle inquiries and issues calmly and effectively, finding solutions or escalating matters as needed.
Attention to Detail: Precision in data entry, record-keeping, and handling administrative tasks ensures accuracy and reliability in office operations.
Work Experience Requirements
Work experience required: 1 - 3 years in a customer service, administrative support job
Technical Requirements
Equipment: Computer, Photocopier, Telephone, Fax Machine
Software: Word, Excel, Outlook

Working Hours: Monday - Friday - 8:00AM - 4:30PM
