Role Purpose:MistyWest is searching for an awesome Office and event Manager to manage our office operations and plan fun, culture-enhancing events! This is a 30-hour contract-to-hire role with the possibility of full-time employment.
Responsibilities:- Organizing and maintaining storage, including purges of old items
- Providing general support to visitors in a professional and friendly manner.
- Managing the entire office space, including workspace allocation, working closely with HR for on-boarding and off-boarding tasks
- Coordinating garbage and recycling including emptying and maintenance of bins and storage, and site-specific removals where needed.
- Keeping the office plants watered and healthy with the assistance of external cleaners
- Coordinating and maintaining building and facilities equipment as needed, including HVAC, plumbing and electrical building services with the landlord and external contractors
- Tracking expenses on the company credit card and providing receipts and any supporting documentation to the Finance team.
- Creating and automating weekly snack orders, including incorporating wishlist items from team and favourite snacks of new hires
- Organizing and maintaining kitchen, appliances and food storage.
- Suggesting office improvements and ensuring the office interiors are clean and presentable, including oversight of cleaning services and contractors
- Assisting the team with operations-related tasks such as office space lease renewal
- Coordinating mail logistics, which includes; packing shipments, accurate documentation, setting up Fedex waybills, mailing out letters, etc.
- Suggesting and coordinating event logistics and liaising with vendors, including venue selection, catering, transportation, and audio-visual requirements.
- Ensuring compliance safety measures such as training and safety procedures, maintaining incident reports, maintaining safety equipment, liaising with our security vendor and more
- Being a key holder and opening up the office in the morning in preparation for the workday
- Managing and organizing the office lab
Requirements
- Excellent organizational, communication, and leadership skills
- Positive attitude and “above & beyond” mindset; approaches challenges with enthusiasm and a focus on problem-solving.
- Demonstrates initiative and ability to make thoughtful and timely decisions.
- Minimum 2 years experience as an office manager/event coordinator
- Ability to work flexible hours, including evenings to support events
- Ability to commute to the office 5 days/week. You need to open the office at 8 am.
- Standard First Aid & CPR Certification
- Driver's license and clean driving record; owning a vehicle is not necessary but occasionally, evo rentals will be required
Will be a plus: - Photography Skills
- Mechatronic Engineering knowledge
- Close living proximity to the office

This role is contract-based, with a load of up to 30 hours/per week for the next 3-6 months starting from May. There are no benefits.
