Salary: $49,000 to $55,000 per year

We are seeking a skilled Administrative Assistant to support our Senior Leadership Team and Board of Directors. As the first point of contact for visitors and donors, you will play a crucial role in creating a welcoming environment while maintaining efficient day to day operations of our administration office. Your responsibilities will include handling enquiries, organizing meetings, managing donor records and coordinating criminal record checks for employees and volunteers.

Highlights:

  • Manage office including calendar, greeting and directing visitors and handling enquiries
  • Organize and compile documents and take minutes for staff, board and committee meetings
  • Act as point person for donors and manage donation records including providing receipts, and updating records in fundraising software
  • Provides support to coordinate IT needs (with outside IT provider) including inventory management, computer set-up and logins
  • Coordinates the processing of criminal record checks for employees and volunteers and maintains record of volunteer hours
  • Manages orders and distributes inventory of office and kitchen supplies
  • Support Society communications by uploading and maintaining the Society's website, posting updates to social media accounts and building reports for email campaigns and newsletters.

Wage: $49,000 to $52,000 per year

Our ideal Administrative Assistant will bring the following:

  • Post secondary certificate or diploma in office or business administration, or an equivalent combination of education, training and experience may be considered.
  • A minimum of 2 years of recent related administrative experience in a professional office environment is required, and experience supporting a Board of Directors, coordinating travel, IT coordination, database management, and basic accounting tasks would be highly beneficial.
  • Demonstrated proficiency in MS Office Suite, especially Word, Excel, and Publisher.

  • Strong service orientation, excellent interpersonal and communication skills, both written and verbal.
  • High level of organizational skills, attention to detail and problem-solving skills with the ability to prioritize a multitude of tasks
  • Understanding of the importance of confidentiality and the privacy and protection of personal information
  • Ability to be self-motivated and able to work independently with minimum supervision
  • Ability to promote the works of the Society in a positive and beneficial manner
  • Event planning and experience with fundraising software an asset

Additional Requirements

  • A criminal record check including a Ministry of Justice Vulnerable Sector Clearance Letter is required prior to hiring.
