Reitmans (Canada) Limited has a unique opportunity to bring onboard an Executive Assistant to work as part of the Executive Leadership team, supporting the COO and CDCO of Reitmans (Canada) Limited. You will have the opportunity to leverage your talent, develop in your craft and gain exposure to the fashion, business, while contributing to an exceptional customer experience.
As the Executive Assistant you play a pivotal role in optimizing and enhancing the productivity of the COO and CDCO by providing seamless administrative support. This role provides consistently strong Executive Level support as the primary liaison for a wide variety of internal and external stakeholders across Canada on a diverse range of matters - through championing the organization's spirit and brand, this position provides a high level of service and support that impacts our internal and external customers.
Responsibilities:
- Provide a bridge for smooth interaction between the COO and CDCO and the company's stakeholders by managing the professional calendar for optimal efficiency;
- Manages projects and deadlines on behalf of the executives;
- Screen, respond to and redirect mail and email, as appropriate; follow-up on deadlines and commitments to ensure all business items are appropriately executed; and support on escalated customer service or employee issues as needed;
- Leverages pristine communications skills to craft messaging on behalf of the COO;
- Plan and execute on assigned budgets.
- Assist in planning and executing events, such as Lunch & Learns, Town Halls, as well as external conferences;
- Book and confirm all travel and hotel arrangements, prepare itineraries and store documents accordingly;
- Tracks ongoing projects and is well-informed of related activities and associated materials;
- Main point of contact for team budget and coordination with Finance. Coordinates updates across the team;
- Assists with creating decks, taking notes, conducting research, and executing special projects as needed;
- Maintains a strong organizational system for all materials and information;
- Challenge the status quo by consistently identifying areas for improvement, diagnosing issues, and working to resolve them.
Qualifications
Qualifications
- 7 years + of experience as an Executive Assistant (Experience supporting a C-Suite member operating in a national or global environment is highly desirable.);
- College or University degree in related field of study;
- Bilingual (French and English) to communicate with employees across Canada and external stakeholders;
- Demonstrated ability to prioritize multiple tasks, high attention to detail, and get things done quickly with limited direction;
- Problem-solving abilities; able to exercise independent judgment and make good decisions;
- Strong customer service orientation and ability to build strong relationships;
- Technologically savvy ; advanced knowledge and proficiency with Microsoft Office (Word, Excel, PowerPoint, and Outlook) and an aptitude to learn new programs;
- Ability to handle confidential and sensitive materials.
