Job Description
Establish and maintain office procedures to support efficient mortgage application processing, document handling, and client communication
Oversee day-to-day administrative operations, ensuring smooth workflow across intake, underwriting, compliance, and funding departments
Review and respond to client, lender, and legal correspondence in a professional and timely manner
Prioritize administrative tasks and ensure deadlines are met, especially during time-sensitive stages such as pre-approvals and closings
Coordinate staff schedules to maintain consistent office coverage and support deal flow
Organize and schedule appointments, including client meetings, appraisals, lender calls, and notary signings
Maintain organized digital and physical filing systems, ensuring mortgage applications and compliance documentation are properly stored and accessible
Track and manage office supplies and equipment, placing orders as needed and ensuring operational readiness
Generate regular reports for management, including status updates on mortgage files, administrative performance metrics, and deal pipelines
Maintain and update databases, including lead information, referral partners, lender contacts, and deal tracking
Assist with compiling expenses and operational data to support budgeting, payroll, and broker commission reconciliation
Experience: 1-2 years of experience in lending industry required
