Description:

The Chief Administrative Officer of physics is responsible for the administrative, financial and operational management of an academic department ensuring that the physical and technical infrastructure exists to support the teaching, research and other activities of the Physics Department. The incumbent provides advice and assistance in the formulation and implementation of short and long-term departmental plans as a member of the Executive Committee. The incumbent also develops administrative policies and procedures and manages a large number of administrative, financial and technical staff including four subordinate unit managers. A major component of the position is the management of the technical service units, which are managed independently as small but separate business units and provide additional budgetary challenges associated with significant cost recovery and demand technical and managerial skills beyond the usual departmental administration.

QUALIFICATIONS REQUIRED:

  • EDUCATION: University Degree in business/commerce or relevant field with formal accounting training, or an acceptable equivalent combination of education and experience. University Degree in Physics and Engineering is preferred.
  • EXPERIENCE: A minimum of 7 years progressive and relevant experience within a University environment or a large private sector organization. Experience administering complex financial and human resources policies, procedures and collective agreements; knowledge of relevant legislation; experience working with University policy preferred. Experience managing finances for a large complex budget, including experience planning, managing and reporting. Demonstrated analytical skills and analytical strengths in budget modeling, forecasting and administering accounting practices and principles. Practical knowledge in all phases of accountancy and business practices. Proven management and leadership skills; experience in team building and managing change, and a sound knowledge of human resource practices. Experience developing administrative procedures. Knowledge and ability to manage space and facilities. Purchasing and contract negotiation experience. Prior experience with AMS systems, particularly FIS an asset. Experience researching, analyzing, making recommendations, providing risk assessments and options. Demonstrated experience in liaising with senior administrators, responding to and handling matters of a complex and sensitive nature. Familiarity with science and/or technology acquired through education or training, or through relevant experience in a University setting or the private sector would be an asset. Demonstrated experience in planning and managing major renovation projects.
  • SKILLS: Strong computer skills with high level proficiency in Microsoft Office suite. Advanced knowledge of finance and accounting and HR information systems such as FIS, RIS and HRIS. Demonstrated management skills and problem-solving capabilities. Excellent organizational, business and time management skills; attention to detail. Ability to deal tactfully and effectively with a wide range of stakeholders. Ability to adapt to new technology. Ability to exercise good judgment in prioritizing work. Exceptional leadership and interpersonal skills with the ability to engage, secure support, commitment and results from others, all with proven experience in creating a positive working environment for staff. Superior communication and presentation skills; initiative; tact; ability to simultaneously balance a variety of activities and deal effectively with a variety of individuals; flexibility; experience maintaining strict standards of confidentiality. Ability to work independently and as a member of a team. Ability to sustain a professional demeanor in all aspects of the role, even when working under the pressure of multiple and complex demands. Willing to respond to and manage shifting priorities; demonstrated ability to work cooperatively in a dynamic and challenging environment that fosters teamwork and collegiality. Demonstrated ability to manage sensitive matters with all levels of University faculty and administration. Thorough knowledge of management principles; demonstrated analytical and strategic planning abilities and political acumen.
