The Role

We are seeking a detail-oriented and proactive Property Management Sales Coordinator to join our dynamic team. Reporting directly to the Contract Sales Manager, this role is pivotal in providing high-quality administrative support and sales coordination. You will be responsible for maintaining the fulfillment report, managing a specialized filing system for Property Management, processing orders and invoices, handling credit notes, and supporting commercial laundry leads. This is an excellent opportunity for someone who thrives in a fast-paced environment and enjoys interacting with diverse stakeholders, including property managers, site contractors, and homeowners.

What you will be doing

1. Sales Support and Administrative Management

Maintain and update the fulfillment report, ensuring accurate entry of new data and order cancellations.
Establish and manage a comprehensive filing system tailored to Property Management needs.
Communicate professionally with stakeholders including property managers, onsite contacts, tenants/homeowners, and site contractors.

2. Order and Invoice Processing

Generate invoices in Syspro upon receiving purchase orders, accurately inputting delivery details.
Verify customer data, models, pricing, and specific instructions against purchase orders.
Coordinate with the Delivery and Installation Departments to ensure smooth scheduling and installation processes.

3. Credit Note Processing

Generate credit notes as requested, ensuring all supporting documentation is in order.
Obtain necessary approval signatures from the relevant Contract Salesperson before finalizing credit notes.

4. Quoting and Replacement Management

Provide quotes for replacements based on property management needs and maintain updated price lists.
Manage inventory for replacement standards and ensure distribution among relevant stakeholders.

5. Commercial Laundry Coordination

Support the Contract Sales Manager in managing commercial laundry leads, pricing strategies, and invoicing.
Develop an understanding of commercial laundry practices to support retail staff as needed.

To be successful in this role you must have

1-2 years of experience in administrative or sales support roles, preferably within a relevant industry.
Familiarity with order processing, invoicing systems, and credit note handling.
Strong record-keeping and documentation skills tailored to departmental needs.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Excellent organizational skills, attention to detail, and time management abilities.
Effective communication skills for engaging with a variety of stakeholders.
Ability to adapt quickly, learn new processes, and work well in a team environment.
Exceptional telephone etiquette and customer service skills.
