Job Description

Title: IT Project Manager

Reports To: Vice President of Operations

Summary of Position:

The IT Project Manager's responsibilities extend beyond traditional project oversight, encompassing both the strategic execution of projects and the provision of IT service management. This dual focus requires balancing resource allocation and team coordination with the facilitation of ongoing IT services. Collaborating with sales and clients, the IT Project Manager sets project objectives and ensures a commitment to quality, seamlessly integrating project and service management practices.

Accountabilities:

Direct all project phases from start to finish while also managing a dedicated IT service team.
Define project scope, goals, and outcomes in line with business aims, collaborating with leadership and stakeholders, and ensure they align with service team objectives.
Develop detailed project strategies and communication plans that also address service team coordination.
Communicate effectively with project teams and stakeholders, ensuring clarity on both project and service management expectations.
Maintain active engagement with project stakeholders and the service team.
Assess and forecast the resources and personnel required to meet project goals and support service operations.
Propose and manage budgets for projects and service team activities, making necessary adjustments.
Evaluate the need for additional staff or consultants for projects and service management, obtaining approvals as required.
Regularly review and update project plans and service team activities, managing expectations across both areas.
Delegate appropriate tasks to project team members and service staff.
Resolve any conflicts within the project team and the service team, ensuring smooth operations.
Track and manage project dependencies and the critical path, as well as service team workflows.
Plan and schedule project timelines and milestones, incorporating service team schedules using effective tools.
Monitor and report on project progress and key deliverables, as well as service team performance.
Produce and deliver progress reports, proposals, documentation, and presentations for both project and service team activities.
Establish reporting standards for project updates and service team metrics, analyzing results and addressing any issues.
Proactively manage changes in project scope and service team demands, devising contingency plans as needed.
Define and disseminate project success criteria and service team performance indicators to all relevant parties.
Mentor and lead project team members and service staff, encouraging accountability and proactive involvement.
Foster key business relationships to support both project success and the effectiveness of the service team.
Conduct project retrospectives and service reviews, compiling insights to identify successful practices and areas for improvement.
Advance project management methodologies and tools, applying these innovations to enhance service team operations.
Ensure accurate data entry in HUB's Professional Service Automation software, Connectwise, for both project and service team records.
Keep customers and supervisors informed about the status and progress of both projects and service team activities.
Maintain a clean and safe work environment that supports both project execution and service team functions.
Exhibit a professional demeanor in both personal presentation and workspace, reflecting the standards of the project and service team.
Adhere to HUB's timekeeping and attendance policies, demonstrating reliability in project delivery and service team management.
Uphold HUB's Employee Code of Conduct, setting an example for both the project team and the service team.

Qualifications:

Educational Background: A university degree or college diploma in Computer Science, Information Technology, or a related field, or equivalent practical experience.
Experience: At least 2 years of direct project management experience, encompassing all facets of process development and execution.
Certifications: PMI certifications are highly regarded.
Technical Proficiency: Skilled in project management tools (e.g., Microsoft Project) and software suites (e.g., Microsoft Office, Visio).
Personnel Management: Proven track record in managing teams.
Adaptability: Ability to adapt to changing priorities and requirements with strong analytical and problem-solving skills.
Responsiveness: Quick to respond to project changes and adjustments.
Flexibility: Openness to change and ability to work flexibly.
Communication: Strong capability to discern and adapt to various communication styles across diverse disciplines.
Leadership: Persuasive, encouraging, and motivating approach to leadership.
Collaboration: Competent in eliciting cooperation from a broad range of sources, including upper management, clients, and cross-departmental teams.

Licensing: Possession of a valid Manitoba Class 5F Driver's License and access to a vehicle for company use.
Work Authorization: Legal entitlement to work in Canada.
Language Skills: Fluent in English, both spoken and written.

Performance Evaluation:

The company will periodically review employees' performance to evaluate performance and consider any changes in the scope and/or description of job responsibilities to align with company strategy. It is contemplated that performance evaluation will be done on a minimum of a 90-day basis; however, the said evaluation may be postponed or delayed in appropriate circumstances. Any adjustments to salary or compensation will be assessed by the company in their sole and absolute discretion.
