As part of its continued growth, the Fengate Private Equity team is seeking an Administrative Assistant. Reporting to the Executive Assistant, Private Equity, the Administrative Assistant will provide both administrative support and handling data entry for origination activities on the Private Equity team. The successful incumbent must have a genuine interest and understanding of Fengate's business as they will be key to its continued success and growth. They must have experience in a fast paced, dynamic environment where a high degree of professionalism, confidentiality and flexibility are required.
KEY RESPONSIBILITIES
Administrative Duties
- Strategically manage and plan the Private Equity team's business schedule, expenses, travel, meetings, guests, calendaring, etc., to facilitate the most efficient use of time.
- Input/submission of team expenses through Concur Expense Management where required
- Support the daily functioning of the Private Equity team.
- Demonstrate solid judgment in acting as the gatekeeper around priorities.
- Work effectively and collaboratively with the Private Equity Executive Assistant and provide back-up assistance when needed.
Origination Data Entry/Administration
- Manage entries of key relationships, new deals and new contacts in the Private Equity team's Customer Relationship Management (CRM) System, DealCloud.
- Support Origination and Investment Team with deal management tasks including administration of agreements and tracking of transaction deadlines
- Responsible for Weekly/Monthly Reporting of Origination Activities including pipeline reports, operating partner lists, touchpoints with key recurring contacts and mailing lists.
- Maintain organization of the team's knowledge store and file management system, SharePoint
- Assist with the launch and execution of client/partner appreciation events hosted by the Private Equity Team
Requirements
KEY QUALIFICATIONS
- Completion of secondary education with 1+ years' administrative experience.
- Excellent interpersonal and communication skills, both verbal and written.
- Proven ability to multi-task and work effectively under pressure in a fast-paced environment.
- Willing to work flexible hours and be on call to meet challenging and changing deadlines.
- Keen sense for detail, strong organizational skills with a proven ability to prioritize.
- Demonstrated business professionalism, respect for confidentiality and appropriate handling of sensitive information.
- Excellent attention to detail, especially in preparing documents and presentations.
- Strong experience with PowerPoint, Word and Excel is an asset
- Ability to accommodate change, prioritize tasks independently and step up as different opportunities to assist arise.
