About the Role:

Reporting to: COO/CFO

As our People Operations Manager you will have the opportunity to join and build a growing, ground-breaking team leading the talent management, recruiting and other aspects of people management across the organization. Bringing on the best people and ensuring they have what they need to execute is critical to our next phase of growth. This role requires strong communication, organizational, and multitasking skills, with the ability to handle sensitive employee matters with discretion and professionalism. We are looking for a self-starter who can drive key initiatives with minimal direction, and can wear many hats, sometimes at the same time

Responsibilities:

Talent Management:

  • Maintain company-wide policies and procedures to ensure compliance and alignment with best practices.
  • Regularly update employee handbooks and internal documentation, ensuring all team members are informed of changes.
  • Conduct quarterly pulse checks to gauge employee engagement and satisfaction, taking action independently based on survey results.
  • Company and employee holidays and vacatons: Management of holidays, vacations, anniversaries, birthdays, etc.
  • Collaborate with IT and office teams to ensure proper maintenance and upgrades of equipment as necessary.
  • Maintain accurate and up-to-date employee records, ensuring compliance with all local, state, and federal regulations.
  • Provide administrative support to company executives, including managing calendars, booking travel, and scheduling meetings.

Recruiting & Onboarding

  • Collaborate to assist in recruiting efforts, including job postings, coordinating interviews, and managing candidate communications.
  • Help with screening resumes, scheduling interviews, and organising feedback from hiring managers to facilitate smooth decision-making.
  • Design and execute effective onboarding and offboarding processes that align with AssistIQ culture and values.
  • Coordinate with relevant departments to ensure all required paperwork, equipment, and training are completed.
  • Oversee the procurement, distribution, and tracking of office equipment (laptops, etc.) for new and current employees.

Culture & Events

  • Plan and execute events (e.g. lunches, dinners, offsites, socials, including virtual socials) to foster team spirit and cohesiveness.

Office & Vendor Management

  • Manage and be the point person for our Montreal office, including, but not limited to: managing office relationships, organizing team member access and memberships, and operational requirements, etc.
  • Manage relationships with office suppliers and service providers
  • Manage company hardware for customers including storage, access and shipping

Performance Management:

  • Support performance reviews and processes
  • Help develop programs to recognize and reward exceptional performance and contributions.

Qualifications:

  • Diploma in HR from an accredited college or university in North America.
  • Proven experience in HR functions and a track record of managing recruitment campaigns.
  • 2-3 years of human resource management experience is preferred.
  • Proficiency in HR software and familiarity (or ability to quick learn) labour laws and practices in both Canada and the US.
  • Ability to handle sensitive information with the utmost discretion
