Reporting to the Account Executive, Corporate Partnerships, the Sales & Fulfillment Coordinator's primary responsibilities are to assist in the development and execution of sponsorships, advertising, planning, development, and execution of initiatives designed to support REAL's reach, and identified revenue and growth objectives. This includes but is not limited to such activities as developing, organizing, and coordinating proposals, agreements, and contracts. The position will also be responsible for all tracking, delivering, executing on sponsor, advertising, invoicing and reporting on all fulfillment requirements. As an integral part of the team, this individual will play a key support role in providing help with fulfillment and sales activities to the entire Sponsorship team.

WHAT YOU WILL DO

Sales and Fulfillment Coordinator duties:

Under the directions of Account Executive, Corporate Partnerships

  • Assembles, and distributes sponsorship, advertising and sponsorships agreements in collaboration with, as directed by Account Executive, Corporate Partnerships, and team members.
  • Tracks, delivers and ensures execution of deliverables for contracts and agreements, including, but not limited to corporate sponsorship, advertising, REAL signature events, naming rights, executive suite lease and rental, and other agreements as assigned.
  • Ensures all deliverables are coordinated, collected, received, delivered, and accounted for.
  • Develops, maintains, and grows relationships with REAL clients/customers, serving as liaison to clients/customers.
  • Administers and maintains sales databases and the storage of sales proposals and agreements in a file system that is defined and understood by all necessary parties.
  • Maintains an inventory of onsite sponsorship, advertising, and event assets.
  • Assists in developing, organizing, and coordinating the implementation, distribution and set-up/tear-down of promotional, advertising and other materials for events.
  • Coordinates and updates the property's digital network; includes scheduling, placement and uploading of ads etc.
  • Coordinates sponsor signage and deliverables within various locations on the property.
  • Ensures department invoices are prepared, received, coded and recorded in a timely manner and the appropriate response and/or actions are undertaken.
  • Contributes to the development of sales aids that will assist in the marketing of REAL services, facilities, sponsorships, and advertising.

General Duties

  • Works with REAL departments to coordinate commitments and ensure delivery/execution of commitments made by REAL to customers/clients.
  • Frequently engages with customers/clients of REAL to ensure deliverables, timelines are met, some selling, and solicitation as needed.
  • Ensures that all functions performed consistently deliver a high level of quality customer service to both internal and external customers.
  • Prepares, generates and distributes proposals, contracts, reports, and order acknowledgements to appropriate personnel.
  • Provides general administrative support for the Sponsorship team as required (filing, photocopying, mail-outs, customer database management, etc.), as well as special projects and other duties as assigned.
  • Other duties as assigned by Account Executive, Corporate Partnerships.

Requirements

WHAT IT TAKES

Typically, the required knowledge, skills and abilities are obtained through successful completion of the following education and experience:

Education

  • Post-secondary education in marketing, administration, or related field, complimented by related sales/support experience.

Work Experience

  • Minimum two (2) years' experience in a business office environment.
  • Minimum (2) years' experience in marketing/sales or support function to those areas.
  • Demonstrated experience in writing business documentation.

Knowledge, Skills and Abilities

  • Ability to design, format and/or modify complex documents accurately and in a timely manner using intermediate to advanced features of computer software packages such as Microsoft Word, Excel, Outlook and PowerPoint.
  • Working knowledge of customer service, sponsorship and advertising sales Writing, Typing, Creative thinking, Planning skills
  • Detailed oriented with previous experience in coordination and administration Strong time-management skills and a proven track record of delivering quality results
  • Highly motivated and enthusiastic

  • Demonstrated knowledge and use of CRM applications.
  • Ability to thrive and work effectively as part of a small team in a fast-paced and rapidly growing program, in addition to remaining self-motivated and goal-oriented.
  • Demonstrated ability to manage multiple tasks and priorities under tight deadlines and easily adapt to changing situations with excellent organizational, time management and prioritization skills.
  • May work odd or long hours at a time to complete operational requirements, projects or to participate in or coordinate evening and off-hour activities.
  • Must be able to obtain and maintain a satisfactory Criminal Record Check for the duration of employment.
  • Note that this position is an in-scope position under the RWDSU Collective Agreement.
