The Manager, Legal Support Services is responsible for managing the Legal Assistants and Paralegals, and the Office Services team, including reception, document center, event co-ordinator, mail and courier, and other team members. The Manager shall develop and implement systems, policies, and procedures to facilitate the department's work and will lead and implement innovation in process and technology within the legal support and office services teams.

SUMMARY OF RESPONSIBILITIES

  • Provide direct leadership to the Legal Support Team and Office Services Team;
  • Responsible for overseeing the daily operations of the Legal Support Team and Office Services Team, including the allocation of resources, workload/workflow management, quality and completion of work;
  • In collaboration with the HR Manager, oversee the administration of various personnel-related changes including recruiting, on-boarding of new hires, departures, scheduling, leaves of absence, vacation requests and overtime requests;
  • Provide on going coaching, mentoring, and support to the Legal Support Team and Office Services Team;
  • Responsible for the Performance Management process, acting as a liaison between staff and lawyers on performance issues;
  • Development and maintenance of in-house training programs that support the skills development of the Legal Support Team and Office Services Team;
  • Conduct annual performance reviews that support the Firm's values and strategic goals;
  • Manage and make recommendations regarding staffing levels, ensuring high levels of client service and support are provided while striving for efficiency and innovation in each practice area;
  • Other related duties as required.

SKILLS & QUALIFICATIONS

  • Five plus years of experience in legal support services.
  • Leadership experience demonstrating coaching, mentoring, and above-average relationship management skills in a dynamic, complex, and nuanced legal services or professional services environment.
  • Previous experience developing and delivering training content in a legal services environment.
  • Strong communication skills, both written and oral, that demonstrate tact and professionalism and foster trust among all stakeholders.
  • Skilled in utilizing the MS Office suite of tools and law firm-specific productivity tools that produce the highest quality work product.
  • A strong focus on client service.
  • An ability to embrace new projects and enjoy working independently or as part of a team.
