CPA Nova Scotia is the governing and regulatory body for over 5,000 Chartered Professional Accountants and CPA candidates and students in Nova Scotia. Our primary mission is protection of the public by enforcing the highest professional and ethical standards. Our members work in small businesses and multinational corporations, public practice firms, government, academia, not-for-profit organizations, and more.

We are recruiting an Executive Assistant to join our team. The ideal candidate is a highly organized individual who enjoys working with an efficient team where initiative, innovation, and collaboration are valued.

Overview of Key Responsibilities

Reporting to the President & CEO, this person will be responsible for assisting executives with administrative support including:

  • Manage the CEO's calendar
  • Arrange all travel for the CEO, Board members and Directors as required
  • Prepare and submit expense claims for the CEO and Directors as required
  • Schedule and organize meetings of members, staff, and executives
  • Plan and arrange all staff social events
  • Prepare and send correspondence letters and emails as required
  • Order catering, purchase gifts etc. as required
  • Booking meeting space (internal or external)

Supporting the Board and Committees of CPA Nova Scotia

  • Poll, schedule, attend, and take minutes for meetings including the Board, Audit Committee, regulatory committees and the CPA Nova Scotia Education Foundation
  • Compile and prepare all meeting documents and ensure they are distributed ahead of meeting dates
  • In coordination with staff, plan for, schedule and organize the Annual General Meeting
  • Provide support for Atlantic Senior Leaders Meetings
  • Coordinate elections process
  • Coordinate awards nomination process
  • Coordinate with other provincial EA's for national matters and scheduling
  • Format documents and presentations
  • Providing administrative support to other directors/departments as needed
  • Set up/clean up meeting rooms
  • Other duties as assigned

Experience and Education Requirements

  • Minimum diploma in office administration is required
  • Minimum five years practical experience in an executive administrative capacity
  • Experience working with Office 365 products including word, excel, power point and SharePoint
  • Experience with Adobe Acrobat Pro
  • Highly organized, punctual, and reliable
  • Ability to foster effective interpersonal relationships and a co-operative working environment
  • Strong oral and written communication skills, with exceptional attention to detail and accuracy
  • Self-motivated and takes initiative with the ability to plan for and complete tasks within deadlines with minimal supervision or direction
  • Excellent customer service, analytical and problem-solving skills
