KEY ACCOUNTABILITIES:

We are seeking a diligent and detail-oriented Finance Clerk to join our team. The Finance Clerk will provide support to the Bookkeeper and Payroll Administrator and will include, but not limited to, billings, payables, cash management, payroll and vehicle maintenance.

Key Responsibilities:

Petty Cash and Gift Cards:

Review expense receipts and process petty cash disbursements and replenishments.

Review expense receipts and process gift card disbursements and replenishments.

Perform daily cash reconciliation, maintain accurate petty cash and gift card ledgers and reconciliations.

Ensure compliance with relevant policies and procedures.

Investigate and resolve discrepancies in cash transactions.

Vehicle Maintenance:

Manage and track vehicle maintenance schedules and records.

Coordinate with service providers for vehicle repairs and maintenance.

Ensure compliance with company vehicle policies.

Payroll Support:

Assist with payroll processing, including data gathering, entry and verification.

Prepare schedules and summaries to support monthly remittances of benefits and dues.

Accounts Receivables:

Process receipts from petty cash and other expenses to prepare them for invoicing.

Prepare extra billing staffing monthly reports in preparation for invoicing.

Assist in the preparation and sending of invoices to clients and following up on outstanding payments.

Filing of invoices.

Accounts Payables:

o Process vendor invoices to prepare them for payment.

o Assist in the processing of cheques for mailing and distribution.

o Filing of paid invoices.

Miscellaneous:

Create, update and maintain financial spreadsheets relative to above responsibilities, ensuring data accuracy and integrity in all financial records.

Generate reports and provide data analysis as needed.

Provide assistance in any other areas in the Finance Department, as necessary.

QUALIFICATIONS:

o Diploma or degree in finance, accounting, or related field preferred.

o Proven experience as a finance clerk or similar role.

o Proficiency in Microsoft Office, particularly Excel.

o Knowledge of basic accounting principles and financial regulations.

o Strong attention to detail and organizational skills.

o Excellent communication and interpersonal abilities.

o Effective communication in a professional manner at all levels within the organization and an ability to liaise with key partners including families, professionals, funder.

o Demonstrated proficiency in personnel management including supervision, performance feedback, communication, and time-management; taking ownership of issues to resolution.

o The ability to manage multiple priorities effectively.

o The ability to work effectively both independently and collaboratively in a fast-paced environment.

ADDITIONAL REQUIREMENTS:

Willingness to use personal vehicle in the performance of duties.
