Under the direction of the Director, Marketing Operations, Philanthropy, you will provide strategic guidance to the Chief Development Officer and the Philanthropy team with leading change management initiatives, developing and executing on internal communication strategies, as well as organizing internal team events to enhance staff engagement (such as our PhilCon annual conference, monthly townhalls, and team-building activities).
To excel in this role, you should possess strong critical thinking skills, superior time management, and leadership abilities. You will need to work well with different teams, anticipate and address roadblocks proactively, and communicate complex processes effectively to stakeholders. Bilingualism in French and English is a requirement.

In this role, you will:

  • Support the development and execution of communication plans, strategies, and tactics that align with organizational goals.
  • Provide day-to-day support and technical advice on communication activities
  • Collaborate with departments and stakeholders to understand communication needs and assist in crafting key messages.
  • Conduct research and analysis to identify communication opportunities, challenges, and audience insights, providing recommendations for improvement.
  • Draft, edit, and proofread communication materials, including speeches, presentations, and reports content.
  • Support communications planning and promotional efforts for events, campaigns, or fundraising initiatives.
  • Ensure that all communication materials align with the organization's branding and tone guidelines and is accessible.
  • Assist in designing simple graphics or coordinating with designers for visual content.
  • In collaboration with the Director, Marketing Operations, execute the strategy of events - annual Philanthropy Conference (PhilCon), monthly townhalls, lunch & learns, department meetings, and team-building activities which includes:
  • Designing a project framework for the annual PhilCon,
  • Conducting market research, gather information, and negotiate contracts in partnership with the Supply Chain Management team.
  • Organizing event details such as venue, catering, entertainment, transportation, invitee list, special guests, equipment, and promotional materials.
  • Recruiting and coordinating a team of volunteers from the Philanthropy staff for PhilCon.
  • Handling any issues and troubleshooting problems during the event planning
  • Stay informed on best practices, industry trends, and emerging communication tools to enhance engagement and outreach.

What we are looking for:

  • Qualifications include a minimum of 3 years experience and a 1-2 year post-secondary certification/diploma, or less experience if combined with a 3-year college diploma or university degree in communications, public relations, journalism, or a related field and/or an equivalent combination of education and experience. May require technical certifications or professional designations and the ability to adapt knowledge and practices to varying situations or equipment.
  • Proficiency in standard computer applications (Microsoft Office Suite).
  • Knowledge of best practices in communication, public relations, and media relations
  • Ability to work collaboratively with internal and external stakeholders
  • Ability to identify and analyze problems using standard procedures and organizational knowledge, applying independent judgment to develop solutions, and escalating issues beyond standard methods or expertise.
  • Ability to influence others with shared interests by gathering perspectives, understanding needs, collaborating to identify problems, and presenting information to reach consensus, often in somewhat sensitive situations with potential for escalation.
  • Collaborative and ability to lead through influence
  • Fluency in English & French is required.

Working Conditions:

  • Will be working primarily in a hybrid work arrangement.
  • Regular exposure to computer screens and keyboards while sitting at a desk for extended periods.
  • Occasional overtime, evening, or weekend work is required to meet project deadlines, support meetings/events, or meet operational needs such as disaster appeals
  • This position will require occasional travel to attend meetings/conferences, support operational needs, and respond to emergencies.
  • Ability to adapt and realign one's own role and that of team members to contribute to a crisis/emergency situation.
  • Provide disaster relief and/or emergency field operational support in a large-scale emergency, where staff numbers are compromised, or additional resources are required.
