Who you are
You have a worked in an Administrative Assistant role for a minimum of three years. You have a high school/secondary graduation level and completed courses in business administration at college (certificate) or university level.
You have experience in demonstrating professionalism, critical thinking, good judgement, showing initiative and being action orientated. You have an advanced proficiency level in Microsoft Office applications. Previous experience in healthcare would be considered an asset.
Written and spoken competence in English is required at an advanced level.
What you will do
MSO Administrative Support
- Reception for Medical Staff Office, including follow-up of various telephone and email requests.
- Various administrative tasks to support Senior Executive Medical Director and local Chief of Staff, VP Medical and CEO
- Prepare offer letters for salaried physicians' positions.
- Manage requests from salaried physician and admins, ordering, time related questions etc.
- Manage pro-rated leave requests sent in.
- Assist with PCN (position control number) requests, job ads etc.
- Ensure all compensation, benefits, and employment terms are clearly articulated.
- Maintain confidentiality and precision in all offer documentation.
- Process and manage administrative documentation including travel expenses, physician services reports, and purchase orders.
- Time tracking system for all salaried physicians and salaried admins using UKG.
Fee-for-Service (FFS) Physician Agreements
- Prepare offer letters for fee-for-service physician positions.
Locum Physician Management
- Prepare offer letter for both short-term and recurring locum positions.
- Develop clear documentation outlining assignment duration, compensation, expectations, and performance metrics.
- Locum tracker for Medicare
- Process and manage administrative documentation including travel expenses, physician services reports, and purchase orders.
- Manage expense management protocols for locum physicians.
- Manage reimbursable expenses, including travel, accommodation, and professional development costs.
- Expense tracking and management systems.
- Ensure compliance with organizational financial policies and tax regulations.
- Provide transparent reporting mechanisms for expense tracking and budgeting.
- Coordinate comprehensive orientation process including:
- IT system access setup
- Username and email account creation
- Scheduling mandatory training sessions
- Coordinating access card and security clearance
- Comprehensive hospital facility tour
- Introduction to key departmental contacts
- Manage onboarding checklists for different physician categories.
