Position Details:
The Administrative Services Assistant supports NBREA team members, including the Senior Administrative Services Officer, Director of Education & IT Services, Director of Communications & External Relations, and CEO, on various projects. This position also provides backup support to the Senior Administrative Services Officer.

Responsibilities

General Administrative Support Duties-

  • General office duties, including photocopying, faxing, printing, create labels, prepare documents, mail etc., to support the team.
  • Respond to student inquiries regarding Practicum and Exam procedures and schedule.
  • Assist with Pre-Licensing Education (PLE) registration processing and prepare PLE student materials for shipment. Assist with practicum and exam registrations.
  • Provide full back-up support for the Senior Administrative Services Officer, including but not limited to reception phone coverage.
  • Prepare the boardroom for all meetings, ensure the room is tidy and in a professional state. Order meals for meetings, as required.
  • Monitor all office/kitchen supplies and restock and order as required.
  • Act as main contact for all suppliers.
  • Monitor inventories for educational materials and textbooks and re-order as required.
  • Desktop publishing of printed material.
  • Manage enrollment for Mandatory Continuing Professional Development (MCPD).
  • Track MCPD course progress and support student and members for the Learning Management Systems (LMS) platform
  • Event planning support such as, preparing sponsorship packages, grant applications, lottery licenses, and preparing PowerPoint presentations.
  • Assist with fundraising (donation requests, thank you letters), action meeting surveys, and management of Affinity program partners.
  • Other duties as required and/or requested.
Qualifications

Key Competencies & Skills:

  • Ability to work independently, organize and prioritize workload while maintaining flexibility and able to react to last minute changes.
  • Exceptional attention to detail and ability to work within established deadlines.
  • Strong writing and interpersonal skills, exercising tact and diplomacy.
  • High standards of ethics and confidentiality in handling sensitive information.

Qualifications & Experience:

  • Post-secondary education with related work experience.
  • Strong computer skill including Microsoft 365 tools, Adobe, WordPress, and database management systems.
  • Experience with video-editing software is an asset.
  • Knowledge or background in the real estate industry is an asset.
  • Bilingual (English and French) is required; French fluency - verbal required, reading and writing skills are an asset.

Working Conditions:

  • Full-time position, Monday to Friday, 8:30 AM - 4:45 PM, with occasional overtime as needed.
  • Occasional travel may be required.
