The Project Officer will support project delivery efficiency, quality, and adherence to best practices. Working as a key member of the project management office (PMO), this role involves aiding in the development and implementation of solutions to support project teams in navigating each phase of the project delivery lifecycle. The Project Officer will support implementation of the PMO by aiding in the optimization and standardization of our project management processes.
PMO Leadership
- Establish internal networks to help identify and define PMO priorities and workplans that are focused on removing project delivery barriers.
- Understand and continually communicate the PMO's value proposition and ensure alignment with corporate objectives.
- Facilitate communication between the PMO and other departments where appropriate.
- In coordination with the PMO team, support the development of the PMO's strategic plan.
- Foster a culture of collaboration, innovation, and professional development within the PMO.
PMO Support
- Provide organizational support to the PMO team, including training sessions, managing project-related tools, and assisting with process improvements.
- Assist in drafting communication materials, briefing notes and information summaries.
- Coordinate or deliver basic training sessions for new PMO processes and resource tools.
- Maintain PMO project documentation, including project management plans.
- Aid in development and maintenance of PMO standards, methodologies, and best practices.
- Prepare reports on project status, performance, and key performance indicators.
- Support with meeting scheduling, note taking and other coordination tasks as required.
Project Delivery Support
- Develop and leverage an understanding of the project stakeholder environment and associated roles and responsibilities in project delivery.
- Work with project management team to identify project delivery needs and assist in providing solutions or opportunities to improve the project management maturity of the division.
- Support development and delivery of project management training programs and materials.
- Facilitate communication with a variety of stakeholders, including internal project teams and key external stakeholders.
- Identify opportunities for process improvements and develop recommendations for change.
- Assist with development and maintenance of process maps to improve clear business processes.
- Collaborate with stakeholders to implement process changes and monitor their effectiveness.
- Assist with the development and implementation of change management plans to support project objectives.
- Support risk management processes and produce monthly reports on risk management activities across the healthcare project portfolio.
- Other duties as assigned.
- Post-secondary education (degree or diploma) in business administration, project management or a related field with previous working exposure to the construction industry.
- 1-2 years' experience in a project management or a related position.
- Experience working in a PMO or change management environment is an asset
- A CAPM designation would be an asset.
- Change management certifications (e.g., Prosci) would be an asset.
- Excellent verbal and written communication skills.
- Strong analytical, problem-solving and organizational skills.
- Ability to adapt to change and work under pressure.
- Knowledge of project management methodologies (e.g., Agile, Waterfall).
- Business acumen with an understanding of dealing with project lifecycles, budgets, and schedules.
- PMP designation would be considered an asset.
- This position comes with a high level of autonomy and the Project Officer must be able to work autonomously upon receiving direction and use professional judgment as to when work situations require escalation.
