Executive Assistant

Overview: We are seeking an Executive Assistant to join our team and play a crucial role in supporting the day-to-day operations of our organization. This position involves providing a range of administrative duties and clerical support to ensure the smooth functioning of the office environment.

Responsibilities:

· Reception duties including greeting, telephone, mail etc.

· Provide Administrative support to management staff.

· Prepare and organize documents, reports, and presentations to support meetings and conferences.

· Assist with the scheduling and coordination of meetings.

· Assist in the preparation of meeting materials, agendas, minutes and follow-up correspondence.

· Maintain organized filing systems, both electronic and physical, ensuring that all documents are accurately placed and up-to-date.

· Assist the leadership team with special projects and planning events.

· Other duties as assigned by management to support the goals and objectives of the organization.

Key Qualifications:

Strong organizational skills and attention to detail.

Proven ability to manage multiple tasks at once and work under time constraints.

Excellent verbal and written communication skills. Bilingualism would be an asset.

Ability to work independently and collaboratively in a small office environment.

Discretion and confidentiality when handling sensitive information.

Responds to correspondence and requests in a timely manner.

Proficiency in online software (Microsoft Office, Google Workspace, etc.)
