The Opportunity
We are currently seeking an Administrative Assistant II to join our Underground Mine Operations Department in Voisey's Bay, Labrador, a fly-in fly-out operation.
This is a permanent on-site position, working a 2 week on 2 week off rotation at our Voisey's Bay Mine Site.
As an Administrative Assistant II, you will be providing administrative assistance on a daily basis. This can involve scheduling/organizing meetings, travel (domestic & international), visa requirements, vacation scheduling, filing, typing, mail/file distribution, invoice management, maintain contact with all offsite offices, liase with head office and other business locations.
Additionally, in this position you will:
- Communicate with contacts at all levels inside and outside the organization, providing and obtaining information from other managers and directors or outside representatives.
- Receive and screen telephone calls, letters, and/or visitors, answering routine questions and furnishing information to save manager's time.
- Schedule appointments and coordinate arrangements for meetings and conferences and travel arrangements (flights, car rentals, hotel bookings).
- Organize and maintain files of immediate supervisor's correspondence and records, following up on pending matters.
- Draft and type routine letters and memoranda from specific instructions, and prepare regular correspondences, reports, and presentations.
- Produce a variety of correspondence, reports, and presentations using the appropriate software for word processing, graphics, and spreadsheets.
- Process invoices for payment into the SAP system and maintains invoice filing system. Ensure prompt payment to suppliers with agreed upon timelines. Investigate and resolve any issues arising.
- Work independently within specific scope as determined by the immediate supervisor.
About You
Education:
- A 2-year college diploma in Office Administration is required.
Experience:
- A minimum of 3 years' experience in a similar role.
Skills:
- Strong ability to work cooperatively within a team environment
- Self-motivation and ability to complete work with minimal supervision
- Strong computer skills in Microsoft Office are required
- Strong organizational and interpersonal skills are required
- High level of confidentiality is required
- Knowledge of SAP is considered an asset
