The Opportunity:
Our team is growing! This is an exciting full time contract opportunity where you will have a direct impact on the employee experience at Medavie. This position has the working hours from Monday-Friday 7.5 hours/daily and ends December 31, 2025. The role reports to the Director, HR Systems and Support and provides administrative and confidential support to the HR teams, managers, and employees to maintain compliance and support employee needs. You will be part of a fast paced, dynamic team where you will support various functions including personnel and benefit administration.
The ideal candidate will have a comprehensive knowledge of Human Resources as well as general administrative responsibilities. In this role you will work efficiently and accurately to ensure the end-to-end running of HR operations. Your hands-on style with the ability to roll up your sleeves will make all the difference as you thrive on process, details and organization. Responsibilities:
- Support employee transactions and data in Workday, our Human Capital Management (HCM) system. This includes HCM, Benefits, Absence and Time administration (new hire, rehire, leave of absences, retirement, termination, external consultants and organizational changes), within required deadlines.
- Administer employee benefits, including enrollments, terminations, and processing changes.
- Investigate of any benefit administration discrepancies.
- Conduct regular audits
- Manage the Security Clearance process
- Maintain confidential, accurate and up-to-date electronic and paper employee files.
- Conduct ad hoc system testing and audits when required.
- Provide office and clerical support, including preparation of onboarding packages for all new hires on a bi-weekly basis.
What You'll Bring to This Role:
- Certificate in Office Administration or Human Resources Administration.
- Strong technical aptitude and knowledge of Workday, Microsoft Office, Notes, and Outlook
- Ideal candidate would be enrolled in or have completed a Certificate/diploma in Human Resources and working towards a Certified Human Resources Professional (CPHR) designation.
- Written and spoken bilingualism (French and English) is mandatory.
- Minimum two years experience in an administrative position preferably in a Human Resources department.
- Strong attention to detail while maintaining accuracy and using utmost discretion when dealing with confidential information.
- Customer service and outcome orientation coupled with superior communication - you are clear, concise and friendly and know how to communicate to different audiences.
- Ability to diagnose problems, identify and drive appropriate solutions to resolve issues.
- High initiative and ability to prioritize and multi-task while meeting tight deadlines.
