The Opportunity:

We're seeking a motivated Project Coordinator to join our team, supporting both our Halifax office and construction sites across Nova Scotia. What You'll Do:

  • Project Start-Up: Support the Project Manager with administrative tasks, including creating essential documentation and utilizing Software such as Procore and Premier.
  • Onsite Role: There is the possibility that this position will require full-time onsite work. The onsite role will involve being part of our quality control program, assisting the site supervisor with safety compliance, and monitoring construction progress with the project manager.
  • Ongoing Project Support: Manage project documentation, monitor progress, prepare purchase orders, and Meeting minutes
  • Project Close-Out: Ensure all project close-out documentation is completed, including warranties, O&M binders, and as-built drawings. Assist with start-up and commissioning activities.
  • Contract & Insurance Documentation: Assist in the creation, approval, and management of contracts and insurance paperwork with subcontractors.
  • Change Order Management: Coordinate and process change orders in collaboration with subtrades, the site team, and the client.
  • Submittal Management: Oversee submittal logs and coordinate sample requests, drawings, and product data from subtrades.

Qualifications:

  • Administrative experience in a construction environment.
  • A diploma in Engineering Technology or a Bachelor in Engineering is an asset.
  • Strong oral and written skills in English.
  • Minimum of two years of experience in a similar role.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Strong sense of urgency. Ability to work in a fast-paced environment, responding quickly to project needs and deadlines.
  • Effective communication skills. Ability to collaborate with project teams, clients, and subcontractors.
  • Strong organizational skills. Ability to manage multiple projects, prioritize tasks, and maintain detailed records.
