Reporting to the HR Director, the Human Resources Coordinator works collaboratively within the Finance and Human Resources department to provide support to the day to day operations relating to payroll, benefits and OHS administration.
Payroll & Benefits
- Assists the Payroll manager with data entry of the salaried payroll as well as processing the hourly payroll from start to finish.
- Conducts regular staff follow ups on timesheet submission, reports and contracts for approval.
- Downloads timesheet data from MachForm Timesheets and Machform Payroll Changes and files to appropriate electronic folders
- Drafts correspondence for notifications of important payroll deadlines and general payroll and benefits communications.
- Gathers information from benefits providers such as Medavie Blue Cross and Lifeworks regarding updates and offerings of the benefits plan and EAP program. Communicates and provides information to staff.
- Administers payroll forms and benefit sign-up for new employees.
- Administers offboarding payroll and benefits for departing staff by sending out offboarding correspondence and administering benefit termination within the BlueCross database.
- Provides back-up for Payroll Manager during vacation as it relates to processing payroll for salaried and hourly staff and assisting with other duties as required.
Occupational Health & Safety
- Supports OHS Initiatives as identified by NSCAD's senior leadership team and provides administrative and technical support to the organization in maintaining accurate records related to safety incidents, training and audit reports.
- Assists with tracking, analyzing, and reporting on incident trends
- Collaborates with other studio based learning institutions regarding OHS best practices and policy updates.
- Assist with managing workplace incidents and injuries as required.
- Provide support to Technicians and Studio Manager on health & safety process and procedures.
- Support the Studio Manager with facilitating the health and safety onboarding process with new employees.
- Maintain safety training records
- As required, support Studio Manager to conduct incident investigations from a risk perspective through root cause analysis.
- Assist Human Resources with return to work plans as required
- A degree or post-secondary training in business, accounting, administration, or a related field combined with a minimum of two years of HR experience in a generalist or coordinator capacity, with a focus on payroll, benefits, and OHS is required, an equivalent combination of education and experience may be considered.
- Experience processing and supporting in-house payroll while maintaining accuracy and compliance is required.
- Knowledge of OHS policies, procedures, and regulations to ensure workplace safety and compliance is required.
- Hands-on experience with Human Resources Information Systems (HRIS) (experience with Colleague is an asset).
- Proficiency in MS Office Suite (Word, Excel, SharePoint, Outlook) for managing spreadsheets, reports, and communications.
- Strong organizational skills and the ability to manage multiple requests in a fast-paced environment.
- Excellent oral and written communication skills to interact with staff and respond to inquiries effectively.
