A trusted community anchor, the Dartmouth General Hospital is a 24-hour emergency, inpatient medical, surgical and critical care facility providing services to approximately 120,000 people in Dartmouth and surrounding areas.

POSITION SUMMARY

The Office Coordinator oversees essential office operations. They manage emails, phone calls, mail, and coordinate meetings, ensuring efficient workflow and effective communication within the office environment. They are a key part of ensuring we deliver an exceptional donor experience by performing key administrative tasks and supporting other team members.

OBJECTIVE AND SPECIFIC ACCOUNTABILITIES

Deliver an Exceptional Donor Experience

- Greet and assist in-person visitors

- Answer Foundation main phone line and email. Address requests, complaints or issues in a timely manner.

- Assist with timely delivery of tax receipts, pledge or sponsorship agreements

- Perform quality review of documents being sent to donors or stakeholders

- Assist in delivering our key events by supporting Foundation staff

People and Culture

- Provide reliable support to other team members with various administrative tasks

o Review and redact letters

o Take meeting notes when required

o Schedule meetings

o Input notes from Philanthropy Officers or other team members in donor database

o Perform basic prospect research

o Support President & CEO with Board communications and other Board related activities

- Ensure office operates effectively

o Monitor office supplies inventory and place orders where necessary

o Monitor office and IT equipment and ensure any issues are addressed to minimize downtime. Order new equipment when required.

Internal Processes

- Process and code invoices and expense requests.

- Prepare timely payment to vendors and employees for Foundation expenses

- Perform basic bookkeeping activities

o Deposit cheques via bank scanner

o Prepare night deposits

o Enter basic journal entries

EXPERIENCE AND QUALIFICATIONS

- At least one year of experience in customer service or administrative role.

- College or similar degree in office administration or related field is a plus.

KNOWLEDGE

- Working knowledge of MS Office tools and accounting program.

- Working knowledge of office equipment (multi-function printer, scanner, label printer, laminator)

SKILLS

- Excellent communication skills in person, on the phone and by email.

- Organization skills with the ability to multi-task

This is a permanent, full-time position. The salary range is $45,000 - $55,000. Compensation package includes a defined benefit pension plan, health and dental plans and an employee and family assistance plan.
