The Archives and Corporate Records Technician role supports the Bank's Archives and Information Management Program by assisting with the appraisal, acquisition, arrangement, description, and preservation of permanent recorded information assets, in all forms of media.

The role is responsible to support the delivery of reference services and to enter and maintain accurate data in key departmental systems to support information preservation and retrieval.

Is this role right for you? In this role you will:

Support Archive and Information Management Program Execution

  • Executing archival arrangement and description, creating listings and item level descriptions according to established standards, integrating documents and files according to the Archives record-keeping system and preparing materials for archival storage including physical re-housing of materials.

  • Describe individual records in the Archives electronic database according to established Departmental classification schemes. Apply keywords from established controlled vocabularies with accuracy and attention to detail to ensure records are easy to locate in the system on demand.

  • Apply preservation and maintenance standards and techniques, including alternative recording of information by scanning records for preservation and accessibility.

  • Operating scanning equipment and imaging software to ensure maximum volumes of records are scanned according to Departmental quality standards. Maintain and trouble-shoot scanning equipment and software as required.

  • Locate and retrieve records from secured storage and research, compile, and supply reference archival information to populate exhibitions and outreach materials in all formats.

  • Facilitate access to information in the collection by serving as a point of contact for requests for information.

  • Provide support with any records and information management activities.

  • Provide support for day-to-day office functions and ad hoc scanning requests

Do you have the skills that will enable you to succeed in this role? We'd love to work with you if you have:

  • A diploma from an Information Management or related post-secondary program or equivalent work experience.

  • Demonstrated experience working in an archives, corporate records management, or similar information processing environment processing a high volume of recorded information products.

  • Demonstrated experience accurately using database tools and electronic document management systems.

  • Demonstrated experience using scanning software and equipment and digitizing high volumes of permanent value records.

  • Knowledge of basic preservation practices and storage techniques.

  • Knowledge of applicable archives and information management standards and legislation such as the Bank Act, PIPEDA, and the Copyright Act.

  • Knowledge of information management theory, practices and policies to assist with the implementation of acquisition strategies.

Some more information you might need to know:

  • Required to work under pressure to meet volume targets and expected to perform with acute accuracy and attention to detail as failure to do so negatively impacts the effectiveness of the program overall.

  • Exposed to the following environmental conditions and hazards:

  • Standard office environment, including long periods of intense concentration on fine print materials and digital monitors.

  • Secluded, cold temperature rooms and other environmental contaminants such as dust, dirt, and mold.

  • Lifting and retrieving boxes of 30-50lbs, using ladders, and operating automated compressed shelving equipment.

  • Some travel is required in order to undertake collections development, collections management, advisory, and outreach activities

  • Location : 44 King Street, Toronto.

  • Working hours: 37.5 hours per week, between 8:30am - 5pm EST
