DUTIES AND RESPONSIBILITIES SUMMARY
- Provide daily bookkeeping support, including maintaining accurate records for receipting of gifts and financial information of donors using fundraising software (Canada Helps DMS).
- Oversee the Foundation's banking, including preparing bank deposits, maintaining accurate banking records, and preparing month-end financial reports. Assists in the preparation of the annual budget and oversees the annual external audit.
- Provide administrative support, including managing the meeting schedule, coordinating invitations for events such as the AGM and Volunteer Reception, and preparing reports
- Coordinate all committee meetings, including reminders, ensuring quorum, and arranging speakers and food
- Scheduling kiosk rentals, table bookings, and raffle ticket sales volunteers.
- Maintain tracking spreadsheets and communicate with staff regarding funding for equipment
- Act as the Canada Helps Database Management specialist for the Foundation (training provided)
- Assist in the preparation of HST rebate applications and charitable information returns
- Provide administrative and bookkeeping support for fundraising activities, including event registration and data entry
- Ensure smooth office operation, including ordering supplies and maintaining business machines
- Act as a positive ambassador for the Foundation, advising the President & CEO of any issues that may impact the Foundation
- Assist the President & CEO with coordinating other initiatives and tasks as assigned
- Ensure all work is completed in accordance with IFRS (International Financial Reporting Standards, timely and accurately.
- Contribute to the Foundation's team dynamics and function as an integral team member

Skills and Education
- Preference given to candidates with post-secondary education in bookkeeping/office management and previous bookkeeping experience.
- Proficiency in using Microsoft Office Suite, computerized accounting software (Sage), and fundraising software (considered an asset). Training provided for Canada Helps DMS.
- Up-to-date knowledge of financial and accounting computer applications.
- Experience with Revenue Canada regulations related to charitable reporting requirements
- Strong attention to detail, accuracy, and excellent troubleshooting skills
- Ability to work both independently and within a team environment
- Goal-oriented with the ability to lead, advise, and collaborate within the team
- Commitment to the vision and mission of the Foundation, with a desire to make a community impact
- Reliable, flexible, and adaptable to new and challenging environments

- Experience coding payroll considered an asset.

Decision Making
The Accounting & Donor Services Coordinator makes decisions only within the scope of the job description and/or specific instructions from the President & CEO and is accountable for the decisions he/she makes.
Inside/Outside Relationships
This position deals with co-workers, donors, sponsors, volunteers and the public daily. The successful candidate must be able to maintain a professional and business-like attitude and will work as a vital part of the team to achieve Foundational goals.
Position Conditions
Work will be conducted in an office environment with the flexibility to move around during a shift, including sitting, standing, bending and lifting. This position involves work on a computer and requires the ability to focus for long periods of time. Also, the phone is used as a tool on a routine basis. Due to interaction with the public the candidate must have good listening skills. Periodically, this position will require participation in fundraising activities external to the office environment and may be in outside locations in various weather elements. It is expected that he or she will fulfill the job requirements within the prescribed number of working hours. This position may require limited hours throughout the year outside of regular business hours for meetings, fundraising efforts and other events.

This successful candidate has access to all the financials and sensitive information for the Foundation (a signed confidentiality agreement is required). The ability to maintain confidentiality and working within the guidelines outlined in Foundation policies is essential and a satisfactory criminal record check is required before start of employment.
Supervisory/Management
This position has no ongoing supervisory responsibility. However, as a member of the team the successful candidate may be asked from time-to-time to provide mentorship to new staff, students or interns and oversee volunteers as it relates to fundraising initiatives.
